Job summary

IXOM in Mount Maunganui is seeking an Accounts Coordinator to support Logistics & Customer Service for Bulk Liquid Tanker operations. You will manage invoicing, delivery documentation, and data entry to keep accounts and AR processes running smoothly.

Working with fleet operations, customers, drivers and internal teams, you will reconcile deliveries and inventory, respond to enquiries, and help improve reporting accuracy and workflow efficiency while adhering to safety and regulatory

Qualifications

• 1–3 years’ experience in administration, accounts coordination or customer service, ideally within supply chain or logistics.
• Experience with invoicing, reconciliations and accurate data entry.
• Experience using SAP or a similar ERP system.
• Intermediate Microsoft Excel and Microsoft Office skills.
• Strong attention to detail, organisation and time management.
• Clear written and verbal communication skills.
• Ability to manage competing priorities and meet deadlines.
• A relevant qualification in Business Administration, Accounting, Logistics or a related field is desirable.

Responsibilities

• Prepare, validate and process customer invoices in line with agreed schedules and requirements.
• Investigate and resolve invoice discrepancies, pricing queries and billing issues.
• Reconcile daily bulk chemical deliveries against operational and customer records.
• Work with the Inventory Team to resolve stock movement and inventory variances.
• Maintain accurate customer account information, delivery documentation and operational records.
• Respond to customer enquiries about deliveries, invoicing, reconciliations and service matters.
• Support the Administration Manager and BLT Operations Team, including leave coverage when required.
• Identify opportunities to improve administration, reporting accuracy and workflow efficiency.
• Follow IXOM health, safety, environmental, quality and regulatory requirements.
