Northpower Ltd seeks a Health & Safety Administrator to provide organised, proactive support to the Health & Safety Manager across Rotorua sites. The role focuses on reducing admin workload and ensuring health & safety processes are current and followed.
Responsibilities include coordinating toolbox meetings, maintaining records and documentation, managing the safety inbox, and supporting audits, risk assessments, and inductions with accurate recordkeeping.
We are looking for a highly organised and confident Health & Safety Administrator to provide administrative support to our Health & Safety Manager across our sites. The purpose of this role is to reduce the day-to-day administrative workload of the Health & Safety Manager and ensure health and safety processes, records and actions are effectively maintained and followed through.
Prepare toolbox meeting agendas, record minutes and distribute information across all sites.
Monitor and maintain the Safety inbox throughout the day, responding to and directing enquiries promptly.
Maintain accurate health and safety records, registers, training matrix and documentation, ensuring information is current, accessible and well organised.
Help coordinate workplace inspections and audits.
Assist with risk assessments, hazard identification and hazard management.
Support incident, accident and near-miss reporting, documentation and follow-up.
Ensure employee, contractor and visitor inductions are completed and recorded.
Liaise with the Health & Safety Manager on employee and contractor training requirements and keep training records up to date.
Support the Health & Safety Manager with day-to-day administration, compliance, reporting, and engagement activities and scheduled task lists.
Liaise with the Health & Safety Manager to communicate safety updates, alerts, and lessons learned to employees and contractors.
Highly organised, proactive and self-motivated, with strong administration and time-management skills and excellent attention to detail.
Confident communicating with employees, contractors, visitors and managers, with the ability to follow up outstanding actions, obtain information and escelate matters when required.
Committed to building a positive health and safety culture and influencing safe behaviours across the business.
Able to apply previous experience and practical knowledge to identify opportunities for continuous improvement and achieve positive safety outcomes.
Competent using the Microsoft Office suite, including Word, Excel, Outlook and Teams, and comfortable managing shared inboxes, electronic records, registers, meeting documents and task lists.
Able to maintain confidentiality and work reliably with minimal supervision.
