Baptist Resources Limited (BRL) is looking for an organised, professional and proactive Governance Secretary & Systems Manager to join our team.
This is a unique opportunity to play a key role in supporting high-quality governance across BRL and a number of our client organisations. You will take ownership of key governance administration and systems, working alongside Board Chairs, board members and organisational leaders to ensure governance processes are well organised, professional and effective.
This is more than a minute-taking role. We are looking for someone who can bring structure, consistency and strong systems thinking to governance support, helping Boards operate effectively and enabling leaders to focus on their governance responsibilities.
The flexible and variable nature of this role may suit someone returning to the workforce, a student studying Law, Business Administration or a related field, or an experienced professional with other work or personal commitments. It would also suit someone who is motivated by purpose-driven work and enjoys contributing their skills to organisations making a positive difference in their communities.
As the Governance Secretary & Systems Manager, you will provide high-quality governance support for BRL and its clients.
Your key responsibilities will include:
Supporting Board Chairs and governance groups with meeting planning and governance processes;
Coordinating annual Board and committee meeting cycles;
Preparing and coordinating agendas, meeting notices and Board papers;
Attending Board and committee meetings and preparing accurate minutes;
Maintaining records of resolutions, decisions and actions;
Following up agreed actions with relevant personnel;
Maintaining governance registers, records and key governance documents;
Managing and improving governance filing and document management systems;
Supporting the effective use of governance and digital platforms, including tools such as BoardPro, Microsoft Teams and SharePoint;
Helping ensure governance processes are organised, consistent, and aligned with agreed organisational policies, procedures, and governing documents, including organisational constitutions; and
Maintaining a high level of confidentiality, professionalism and attention to detail.
We are looking for someone who is highly organised, dependable, and comfortable working with a range of people and organisations.

You will have:
Excellent written communication skills and the ability to prepare clear and accurate minutes and governance documentation;
Strong organisational and time-management skills;
Excellent attention to detail and the ability to manage multiple priorities;
Sound judgement, discretion, and the ability to handle confidential information appropriately; and
The legal right to work in New Zealand.
It would be an advantage if you have:
Experience providing high-level administration, executive support, governance support, or board secretarial services;
Confidence working with senior leaders, Board Chairs, and governance groups;
Strong digital and systems capability, including experience with Microsoft 365 and document management systems;
Experience with governance platforms such as BoardPro, or the ability to learn new systems quickly; and
A proactive approach and the ability to identify opportunities to improve systems and processes.

Experience working with charitable, community, faith-based or not-for-profit organisations would be an advantage, but is not essential.
