About the Role:

Assure the effective functioning of soft service and hard service to provide an efficient and safe working environment for site employees and their product activities by using best business practices to manage resources, services and processes to meet the needs of the client.

Deliver the planned financial result by driving process & cost efficiency.

Te āheinga - The opportunity:

As a Facility Manager, you will be responsible for overseeing and managing all facility operations to ensure an efficient, safe, and cost-effective environment that supports the organization's business objectives. This role requires exceptional organizational skills, technical expertise, and interpersonal abilities.

I. Strategic Planning & Process Optimization

  • Implement best practice processes to achieve team Key Performance Indicators (KPIs) and continuously increase operational efficiency.
  • Develop and refine the facility management procedural system, including Operation & Maintenance (O&M) protocols, contingency plans, and escalation mechanisms.
  • Continuously evaluate and optimize facility utilization, effectively allocating and managing facility space for maximum efficiency.

II. Operational Management & Maintenance

  • Oversee and manage all daily facility operations, ensuring service quality and user satisfaction.
  • Plan and manage facility soft services, including but not limited to reception, security, cleaning, catering, waste disposal, fleet management, landscaping, and parking services.
  • Coordinate, oversee, and/or manage repair and maintenance work assignments performed by technicians, external vendors, and contractors, covering building maintenance, landscaping, and janitorial services. Regularly review work orders to ensure all assignments are completed on time and to high-quality standards.
  • Develop and implement a comprehensive Facility Preventive Maintenance (PM) management program, including routine maintenance and life-cycle requirements.
  • Responsible for handling, coordinating, and managing facility Moves, Adds, and Changes (MAC) activities.

III. Financial & Contract Management

  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures, and purchases, including detailed analysis.
  • Manage and review service contracts to ensure all facility management needs are met, while seeking cost efficiencies.
  • Manage day-to-day purchase activities in line with company purchase policy.
  • Obtain and review price quotes for the procurement of parts, services, and labor for projects, ensuring transparency and economic viability in the procurement process.
  • Responsible for vendor invoice processing and ensuring the accuracy of cost center coding.
  • Manage minor capital projects and prepare capital project planning and operating budgets.

IV. Vendor & Client Relations

  • Develop and maintain positive relationships with clients, attending client meetings regular and promptly responding to and resolving client requests and issues.
  • Responsible for vendor management, including training vendors on work procedures, Environmental Health and Safety (EHS) standards, and billing procedures.
  • Check completed work by contractors, ensuring delivery schedules, quantity, and quality criteria are met according to contractual requirements.

V. Compliance & Safety

  • Ensure site facility operations are in full compliance with Environmental Health and Safety (EHS) standards, relevant regulations, and industry codes.
  • Conduct regular facility inspections and submit detailed inspection reports.

VI. Team Leadership & Development

  • Systematically manage the site team through goal setting, performance tracking, providing feedback, training, and motivating team members to foster professional growth and development.
  • Perform other related duties as assigned by direct supervisor.

As a Facility Manager, need a diverse set of skills and capabilities to ensure the smooth, efficient, and safe operation of Site Among these, stress tolerance and the ability to independently manage both on-site and remote facilities are particularly crucial.

Exceptional Stress Tolerance and Resilience:

Facility Managers must thrive under pressure, handling multiple urgent tasks and unexpected emergencies (e.g., equipment failures, safety incidents, client new requirement, natural disasters) with composure and effectiveness. They need to make swift, sound decisions to minimize operational disruption

Comprehensive Independent On-site and Remote IFS Management:

Independently operate and manage multiple dispersed facilities (both local and remote). Adapting to specific needs of various locations and operating environments, providing remote guidance and support to on-site teams to ensure seamless operation of all facilities. Effectively communicating and collaborating with vendors, contractors, and internal teams across different geographical areas, allocating resources, and resolving issues remotely

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information. Ability to respond effectively to sensitive issues.

FINANCIAL KNOWLEDGE

Requires middle knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts advanced financial analysis.

REASONING ABILITY

Ability to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills.

OTHER SKILLS and/or ABILITIES

  • Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use work order system.
  • Working knowledge of architectural, electrical and mechanical systems. Working knowledge of leases, contracts and related documents
  • Good English communication skill in both written and oral
  • planning and organizational skills, negotiation skills, problem analysis & solving, decision-making
  • Working knowledge of principles and practices of project management
  • working knowledge of financial planning
  • MEP background would be a plus
  • working knowledge of procurement and contracts
  • sound knowledge of health, safety and environmental regulations
EDUCATION and EXPERIENCE

College degree or above, and a minimum of four years of related experience and/or training. Associates degree or Bachelors degree preferred with focus on business, technical or management areas. Prior supervisory experience preferred.

CERTIFICATES and/or LICENSES
  • Facility Management certification preferred.
