Job summary

CBRE Asia Pacific in Wellington, NZ is seeking a part-time Facilities Support Administrator to cover daily operations and deliver excellent client service.

You will assist the Facilities Management team, coordinate with vendors, manage office tasks, reception, mail, stock, and arrange meeting room bookings while upholding safety and compliance. Flexible 1-2 days per week to fit your schedule.

Qualifications

  • Confident performing administrative tasks and collaborating with others.
  • Experience in customer service and/or front of house in a corporate setting.
  • Dedication to exceptional customer service with a customer-centric approach.
  • Strong time management, organization and ability to meet deadlines.
  • Ability to think on their feet and solve problems.
  • Proficient in Word, Excel and Outlook; facilities/related experience is a plus.

Responsibilities

  • Assist Facilities Management with day-to-day operations.
  • Provide superior customer service and build relationships with clients.
  • Manage office activities: reception, mail, stock and equipment orders.
  • Coordinate with vendors/building management for maintenance and access.
  • Coordinate meeting room bookings and facility setup; support stock takes.
  • Be primary contact for employees, visitors and external stakeholders on workplace requests.
  • Help enforce workplace policies to ensure safety, efficiency and compliance.
  • This is a part-time role at 1–2 days per week.

The Opportunity
  • Assisting the Facilities Management team with day-to-day operations
  • Provide superior customer service and build strong relationships with our client
  • Manage day-to-day office activities, including reception, mail distribution, and managing office supplies and equipment – stock take and ordering
  • Coordinate with vendors, building management and service providers for maintenance, repairs and access
  • Coordinate meeting room bookings, assist with facility setup, and provide support for the monthly stock take for the office drinks and snacks
  • Act as a primary point of contact for employees, visitors, and external stakeholders regarding workplace-related requests
  • Help enforce workplace policies and procedures to ensure safety, efficiency, and compliance
  • This is part time opportunity – 1-2 days per week

  • Confident in performing administrative tasks and working collaboratively
  • Experience in customer service and/or front of house / client facing in a professional / corporate environment
  • Is dedicated to exceptional customer service and has a customer centric approach to all tasks
  • Excellent time management and organization skills with the ability to manage workflow and priorities and meet deadlines.
  • Ability to think quickly on their feet and problem solve
  • Intermediate to advanced skill level in core Microsoft Packages – Word, Excel and Outlook
  • Previous experience in facilities, property, or related role desired
