Job summary

Forte Recruitment – Wellington, NZ is seeking an experienced Executive Assistant and Business Support Manager to join our client's Wellington-based executive team. Reporting to the Chief Executive, this role combines high-level executive support with business operations, governance, facilities and project coordination.

You will lead the Office of the Chief Executive, shaping an organised, proactive environment and partnering with the Executive Leadership Team to drive strategic initiatives.

Qualifications

  • Significant experience supporting a Chief Executive or Senior Leadership team.
  • Strong governance, minute-taking and executive coordination capability.
  • Experience leading people, projects or business support functions.
  • Excellent written communication and attention to detail.
  • Confidence working with sensitive and confidential information.
  • Strong relationship building skills and the ability to engage with people from diverse backgrounds.
  • A practical, solutions focused approach and the ability to remain composed when priorities shift.
  • Confidence with technology, content creation and modern AI tools such as Microsoft Copilot or Claude.
  • An understanding of Te Tiriti o Waitangi and a commitment to culturally safe and equitable practice.

Responsibilities

  • Provide proactive, trusted support to the Chief Executive and Executive Leadership Team.
  • Manage a complex diary, priorities, correspondence, meetings and national travel.
  • Anticipate emerging issues, risks and deadlines, ensuring a well prepared and "no surprises" approach.
  • Coordinate governance activities, board papers, briefings and meeting minutes.
  • Support speaking engagements, sector leadership activities and strategic initiatives.
  • Manage confidential medical, legal and complaint related administration.
  • Lead and support administration functions across the organisation.
  • Oversee facilities, suppliers, contracts, budgets and key national accounts.
  • Coordinate events and deliver business support projects from planning through to implementation.
  • Review systems and processes, identifying opportunities to improve efficiency and service delivery.
  • Build strong relationships with employees, suppliers, community organisations and government agencies.

They are seeking an experienced Executive Assistant and Business Support Manager to join their Wellington-based executive team. Reporting directly to the Chief Executive, this influential role combines high level executive support with business operations, governance, facilities, project coordination and team leadership.

You will lead the Office of the Chief Executive, creating an organised, responsive and highly effective environment that enables the Chief Executive and wider Executive Leadership Team to perform at their best.
