Job summary

Te Iwi o Ngāti Kahu Trust in East Tāmaki, Auckland, is seeking an experienced Executive Assistant to provide high‑level confidential support to the CEO and help manage priorities and the forward work programme.

Working closely with the CEO, you’ll be a trusted point of contact, anticipate needs, coordinate priorities and follow up, support governance meetings, manage correspondence and travel, and liaise with internal and external stakeholders.

Qualifications

  • 3+ years of experience as an Executive Assistant or senior executive support professional.
  • Experience supporting a senior leader in a busy environment.
  • Strong diary, priority, correspondence and travel management capability.
  • Experience supporting executive, leadership or governance meetings.
  • Excellent written and verbal communication skills.
  • Confidence working with Microsoft 365 and other organisational systems.
  • Exceptional organisation and attention to detail.
  • Sound judgement, initiative and discretion when handling sensitive and confidential information.

Responsibilities

  • Provide proactive and confidential executive support to the CEO, helping manage priorities and the forward work programme.
  • Coordinate and manage a complex diary, appointments, priorities and travel.
  • Coordinate executive, leadership and governance meetings, including agendas, papers, minutes and action follow-up.
  • Draft correspondence, briefings, presentations and other executive documentation.
  • Coordinate communication and relationships with governance, kaimahi, whānau and external stakeholders.
  • Support hui, meetings and events involving the CEO and Executive team.
  • Maintain accurate, confidential executive records and documentation.

Te Iwi o Ngāti Kahu Trust is seeking an experienced and highly organised Executive Assistant to provide high-level, confidential support to our Chief Executive Officer.

Working closely with the CEO, you’ll be a trusted point of contact and play an important role in keeping a busy executive environment organised and moving forward - anticipating what’s needed, managing competing priorities and ensuring the CEO is well prepared and supported.

Te Iwi o Ngāti Kahu Trust, also known as Te Matapuna o te Ora, is the social services entity of Ngāti Kahu. We deliver health, social and community services to whānau in a way that reflects the values, tikanga and aspirations of our wider iwi.

Our kaupapa works alongside whānau from Tāmaki Makaurau to the Far North to support them to achieve their aspirations.

As Executive Assistant, you’ll provide proactive and confidential support to the CEO across their day-to-day and forward work programme.

This is more than managing a diary. You’ll anticipate requirements, coordinate priorities and follow-up, support executive and governance meetings, manage correspondence and travel, and act as a professional point of contact between the CEO and a wide range of internal and external stakeholders.

You’ll be involved in:

providing proactive executive support to the CEO, anticipating requirements and keeping priorities and actions on track

managing a complex diary, appointments, priorities and travel

coordinating executive, leadership and governance meetings, including agendas, papers, minutes and action follow-up

drafting correspondence, briefings, presentations and other executive documentation

coordinating communication and relationships with governance, kaimahi, whānau and external stakeholders

supporting hui, meetings and events involving the CEO and Executive team

maintaining accurate, confidential executive records and documentation.

You’ll be an experienced Executive Assistant or senior executive support professional who enjoys working closely with senior leadership and understands what it takes to stay one step ahead.

You’ll bring:

at least three years’ relevant Executive Assistant or senior executive support experience

experience supporting a senior leader or executive in a busy environment

strong diary, priority, correspondence and travel management capability

experience supporting executive, leadership or governance meetings

excellent written and verbal communication skills

confidence working with Microsoft 365 and other organisational systems

exceptional organisation and attention to detail

sound judgement, initiative and discretion when handling sensitive and confidential information.
