Job summary

Tauhara North No.2 Trust is seeking an Executive Assistant & ELT Coordinator in Rotorua to provide comprehensive administrative support to the Executive Leadership Team and coordinate events aligned with the Trust's goals. The role requires strong organizational skills, stakeholder engagement, and the ability to manage multiple tasks while upholding the Trust's values of unity, empowerment, and respect.

This fixed-term position offers meaningful engagement with rangatahi and community

Qualifications

  • A diploma or degree in Event Management, Business, Project Management, or a related field.
  • Proficiency in Microsoft Office applications and event planning software.
  • Knowledge of Te Reo me Tikanga Māori and experience working with Māori organizations is preferred.
  • A full NZ Driver License and relevant certifications in First Aid, Child Protection Training, and Health and Safety.

Responsibilities

  • Provide high-level administrative support to the Executive Leadership Team, including scheduling meetings, managing correspondence, and preparing reports.
  • Coordinate logistics for various events, ensuring successful execution that reflects the Trust's values and objectives.
  • Collaborate with internal teams and external partners to foster community engagement and promote events through various channels.
  • Assist in the development and maintenance of event management tools and templates to streamline processes.
  • Evaluate events and prepare reports on outcomes, identifying areas for improvement and enhancing future initiatives.
  • Support rangatahi development initiatives, ensuring intergenerational inclusion in events and programs.
  • Manage event registrations and engagement, serving as the primary contact for inquiries and feedback.
  • Ensure compliance with health and safety regulations and maintain accurate documentation for all events.
  • Contribute to the organization's continuous improvement by embracing innovative solutions and best practices.
  • Undertake additional tasks as delegated by management to support overall organizational objectives.

Position Overview

The Executive Assistant & ELT Coordinator plays a critical role within the Tauhara North No.2 Trust. This 12 month ( Fixed-term ) position is responsible for providing comprehensive administrative support to the Executive Leadership Team (ELT) while also coordinating events that align with the Trust's goals. The ideal candidate will demonstrate exceptional organizational and communication skills, ensuring that both executive operations and events run smoothly and effectively.

Your Qualifications

The successful candidate will possess a combination of education and experience that equips them for the demands of this role:

  • A diploma or degree in Event Management, Business, Project Management, or a related field.
  • At least 2 years of experience in event coordination or a similar administrative role.
  • Proven ability to manage multiple projects and meet deadlines under pressure.
  • Strong interpersonal skills with the capacity to build relationships across diverse groups.
  • Proficiency in Microsoft Office applications and event planning software.
  • Knowledge of Te Reo me Tikanga Māori and experience working with Māori organizations is preferred.
  • A full NZ Driver License and relevant certifications in First Aid, Child Protection Training, and Health and Safety.
