Job summary

Personnel Resources is seeking an Executive Assistant to provide high-level support within an Executive Office for a 6-month assignment in Whakatane. You will manage executive diaries, meetings, travel and changing priorities while supporting senior leaders with timely information, reports and data.

Ideal candidates will have 2+ years NZ experience as an Executive Assistant, excellent organisation and communication skills, and a strong commitment to confidentiality and professionalism.

Responsibilities

  • Providing high-level administrative and executive support to Chief Executive office team members.
  • Proactively managing executive diary, meetings, travel and changing priorities.
  • Coordinating end-to-end meeting logistics, including agendas, minutes, actions, rooms and catering.
  • Working closely with senior leaders to ensure information, reports and data are provided on time.
  • Managing confidential information with discretion and professionalism.
  • Supporting projects, events and organisational initiatives for the executive team.
  • Making practical decisions that support the wider team.
  • Providing administration support across the organisation when required.
  • Assisting with strategy delivery, stakeholder engagement, relationship agreements, planning and reporting.

You’ll need to be someone who can confidently manage the detail while keeping sight of the bigger picture.

Your responsibilities will include:

You’ll ideally bring:

  • 2+ years NZ experience as an Executive Assistant.
  • Excellent organisation, time management and prioritisation skills.
  • Strong attention to detail and a commitment to quality.
  • Excellent communication skills and a confident, professional manner.
  • The resilience to work calmly under pressure and respond to last-minute changes.
  • Strong discretion and an absolute commitment to confidentiality.
  • Advanced computer literacy and confidence learning new systems.
  • Proficient with Microsoft Office systems.
  • The ability to coordinate projects and bring people together to achieve an outcome.
  • A collaborative approach and the ability to build positive relationships with a wide range of stakeholders.
  • A strong commitment to a tikanga-led approach.
  • Knowledge and understanding of Te Reo Māori will be beneficial.

You must be eligible to work in NZ, have NZ residency, or hold a valid NZ work permit.
