Health New Zealand | Te Whatu Ora is seeking an experienced Executive Assistant to provide high-quality support to two Managers within Planning, Funding & Outcomes in Tamaki Makaurau/Auckland. You will manage calendars, coordinate meetings and keep day-to-day tasks moving smoothly.

Qualifications

  • Previous experience supporting senior leaders in an Executive Assistant or similar role.
  • Excellent organisation and time-management skills, with the ability to juggle competing priorities and keep things on track.
  • Strong communication and interpersonal skills, with a natural ability to build rapport and make people feel comfortable approaching you.
  • A high level of discretion and professionalism when working with confidential or sensitive information.
  • Initiative and a proactive approach – you'll see what needs doing and get on with it.
  • Excellent attention to detail and pride in producing accurate, high-quality work.
  • Strong Microsoft Office skills, particularly Outlook, Teams, Word and Excel.
  • The ability to work independently while also being a collaborative and supportive team member.
  • Familiarity with office administration, financial processes and working within established policies and procedures.
  • The adaptability and resilience to work effectively through change and uncertainty.
  • Experience within the health or government sector would be an advantage; understanding Te Tiriti o Waitangi is desirable.

Responsibilities

  • Provide high-quality executive support to two managers.
  • Own a broad range of administrative tasks and coordination.
  • Anticipate needs, keep calendars and meetings on track, and ensure day-to-day details run smoothly.
  • Build relationships across a large organisation and support cross-functional partners.
  • Assist with ad-hoc projects and process improvements as required.

About the Role

We're looking for a confident, organised and approachable Executive Assistant to provide high-quality executive support to two Managers within Planning, Funding & Outcomes. You'll be a trusted partner to both leaders, helping them stay focused on their priorities while ensuring the day-to-day details are taken care of whilst taking ownership of a broad range of executive and administrative support.

This is a role where no two days are quite the same. You'll have plenty of variety, work with people right across the organisation and have the opportunity to really understand the work happening around you.

Ultimately, you'll be someone the Managers can rely on – anticipating what's coming, keeping things moving and making their working lives that little bit easier.

You'll have the opportunity to build strong relationships across a large organisation, broaden your understanding of the health system and bring your own ideas and initiative to a role where your contribution really matters.

About you

You'll be an experienced EA who is comfortable working in a busy and complex environment and enjoys being the person who brings order, calm and organisation to a fast-moving day.

You'll bring:
