Tauranga, Bay of Plenty | Full time | $29.90–$32.00 per hour | Minimum 30-45 hours per week
Bay Eco Cleaners is a growing, locally owned cleaning services business based in Tauranga, providing residential, commercial and specialist cleaning services across the Bay of Plenty, Waikato and Auckland regions.
Key Responsibilities
- Administer and maintain cleaning service contracts, including schedules, renewals, extensions and variations.
- Review contract requirements, service specifications, pricing and agreed service levels.
- Prepare and maintain contracts, service agreements, variations, quotations and related documentation.
- Coordinate contract requirements and service schedules with clients and internal teams.
- Monitor contractual obligations, service standards, deliverables and deadlines.
- Assist with resolving contract, service and supplier issues and escalating matters to management when required.
- Assist with preparing cleaning quotations, proposals and tender documentation.
- Liaise with suppliers and subcontractors and obtain and compare quotations.
- Coordinate procurement of cleaning products, equipment and other resources required for contracts.
- Prepare purchase orders and maintain accurate supplier and purchasing records.
- Check supplier invoices, costs and charges against agreed pricing, quotations and purchase orders.
- Monitor contract costs, purchasing and expenditure information.
- Monitor supplier and subcontractor performance and service requirements.
- Coordinate communication between management, clients, suppliers, subcontractors and cleaning teams.
- Assist with scheduling, resource planning and coordination of cleaning services across multiple locations.
- Maintain accurate contract, operational, quality, health and safety and compliance records.
- Prepare reports relating to contract performance, costs, procurement and service delivery.
- Use Xero, Excel, CRM/field-service software and other business systems to maintain accurate information.
- Assist management with operational administration and continuous process improvements.
Skills & Experience
- Relevant experience in contract administration, contract coordination, procurement, logistics, supply chain, operations or commercial service administration.
- Demonstrated experience managing contracts, suppliers, quotations, purchasing or service requirements.
- A relevant tertiary qualification in business, logistics, supply chain management, procurement, contract management, operations or a related field, or equivalent relevant experience.
- Good understanding of contract administration and procurement processes.
- Strong attention to detail and accuracy when working with contracts, pricing, invoices and purchasing information.
- Strong organisational and time management skills.
- Excellent written and verbal English communication skills.
- Professional communication skills when dealing with clients, suppliers, subcontractors and internal teams.
- Ability to manage multiple contracts, deadlines and competing priorities.
- Strong problem solving and judgement skills.
- Ability to work independently, take initiative and follow through on tasks.
- Good knowledge of Microsoft Office, particularly Excel.
- A full driver’s licence and access to a reliable vehicle.
Advantageous Experience
- Experience in cleaning, facilities management or hygiene
- Experience using Xero, ServiceM8, Tradify, Simpro or similar business/service management systems.
- Experience coordinating field based teams, contractors or subcontractors.
- Health and safety training or relevant qualification.
