Job summary

ARA Group NZ Limited trading as ARA Shelters & Structures – Taupo, North Island, is seeking a motivated Design & Office Coordinator to join our Taupō team and support signage, branding, wayfinding, and visual communication projects across New Zealand.

You’ll work closely with our Graphic Designers, Sales Team, and Project Managers to coordinate design requests, manage customer information, organise artwork files, and keep projects moving from enquiry to completion.

Qualifications

• Strong organisational and administration skills.
• Excellent attention to detail.
• Ability to manage multiple priorities.
• Positive, professional, team-focused attitude.
• Graphic Design qualification or current studies (highly desirable).
• Adobe Creative Suite experience (highly desirable).
• CorelDRAW experience (highly desirable).
• Experience with CRM systems (highly desirable).

Responsibilities

• Maintain customer, project, and job information within our CRM system.
• Monitor incoming design requests and artwork briefs.
• Ensure all required information, files, logos, and assets are received before projects are allocated.
• Track project progress and maintain accurate job statuses.
• Follow up missing information with customers and sales staff.
• Organise artwork files, logos, brand assets, and customer documentation.
• Manage design-related emails and enquiries.
• Answer incoming calls and direct enquiries appropriately.
• Coordinate communication between customers, sales staff, and designers.
• Assist with scheduling and workflow management.
