Administrative Assistant – Clinic Operations
Auckland Sleep · Permanent full-time · Clinic based
Join a growing team that’s re-shaping sleep healthcare in New Zealand
Our team is expanding and we are looking for a new Administrative Assistant to help steer the ship through the next phase of exciting growth. At Auckland Sleep, our admin team is a crucial pillar in day-to-day operations, and to put it simply: they keep our busy multidisciplinary clinic running smoothly! In the newly created role of Administrative Assistant, you will be working across administration, coordination and business support, with occasional reception cover when needed.
We’re looking for someone proactive, adaptable and ready to pitch in: a person who spots what needs doing, takes initiative and helps keep the team moving.
What’s the job like?
- Communication with patients. Support the administration and operations of the clinic by managing patient enquiries and scheduling. If you love puzzles, this could be the role for you! We often have patients with multiple appointments across several clinicians, and this requires both a keen eye for navigating complicated logistics, and an understanding of how to communicate with patients about what to expect.
- A blend of the expected and the unexpected. This role will have a regular list of weekly tasks, but half the time you’ll be supporting the Director, Practice Manager and Business Development Manager in a wide range of ever-changing administrative tasks. This will suit someone who likes the stability of accomplishing a few predictable things in the morning but using their afternoons to work on new and varied projects.
- Help us improve. We are an innovative clinical practice focused on trying to change the way sleep is treated in New Zealand. If you like the idea of having your voice heard and making meaningful contributions to the way your organisation operates, you will thrive at Auckland Sleep.
- Support the overall clinic experience. This role will include some reception cover from time to time. You should be very comfortable communicating with patients and clinicians, responding to enquiries and answering phone calls.
Auckland Sleep is a growing business, so the role will evolve as our needs develop. You’ll have opportunities to take on new responsibilities and grow alongside the team. Your work will be guided by the Practice Manager, who will help set priorities and support you in the role.
You’ll bring
- High emotional intelligence with a warm demeanor.
- A highly organised, reliable approach and the ability to manage a variety of tasks.
- Clear communication skills and confidence working with different people across a team.
- Pristine judgement when handling confidential information, and care with details.
- Adaptability when priorities change.
- Confidence using everyday computer systems and digital tools.
- Previous administrative experience and/or healthcare experience would be an advantage.
- Social media experience is also an advantage.
Why you’ll love it here
- The chance to contribute ideas and help shape how a growing clinic works.
- A supportive and close-knit team working across multiple disciplines to improve sleep health.
- Opportunities to develop your responsibilities as the clinic grows.
