About the role
We are seeking a reliable and organised Accounts & Administration Person to join our team on a part-time basis. This role is essential to the smooth operation of our business, providing administrative support that enables our teams to focus on delivering outstanding surveillance and electrical services to our clients. You will be the backbone of our office operations, ensuring that all administrative tasks are completed efficiently and professionally.
What you'll be doing
- Managing and maintaining accurate filing systems, both physical and digital, ensuring information is organised and easily accessible
- Managing day-to-day office administration
- Managing Xero invoicing, accounts receivable and accounts payable
- Preparing and sending customer invoices and following up outstanding accounts
- Processing supplier invoices and payments
- Managing Katipolt job management and ensuring jobs are kept up to date
- Assisting with quotes, job follow-ups and customer enquiries
- Following up leads, quotes and outstanding work
- Managing incoming emails and phone enquiries
- Payroll administration and timesheet processing
- Maintaining customer and supplier records
- General office administration and document management
- Assisting with improving systems, processes and workflow across the business
- Supporting the Director and wider team with day-to-day operational requirements
What we're looking for
- Proven experience in an administrative role or similar office support position
- Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously
- Excellent written and verbal communication skills with professional telephone manner
- Proficiency in Microsoft Office applications, particularly Word and Excel
- Ability to maintain confidentiality and handle sensitive information professionally
- Attention to detail and accuracy in all administrative tasks
- Friendly, professional demeanor with strong interpersonal skills
- Reliability and the ability to work independently as well as part of a team
- Experience with office management systems or CRM software is desirable
- Experience with Xero, Payroll Systems is a mandatory.
