Job summary

EQT is seeking an experienced Office Manager for its Amsterdam office. The role focuses on running the day-to-day operations, overseeing facilities, vendors, budgets, and compliance to ensure a seamless employee and visitor experience.

You will lead the reception, health & safety, and workplace services while supporting travel, onboarding, and local policies in a dynamic private equity environment.

Qualifications

  • 5–7+ years of experience in facilities and office management.
  • Fluent Dutch and English essential for daily operations.
  • Based in or near Amsterdam with ability to manage local office.

Responsibilities

  • Oversee day-to-day running of the Amsterdam office and act as main contact for global teams.
  • Manage Receptionist and ensure excellent visitor and employee experience.
  • Lead facilities, vendors, maintenance, health & safety, security, and workplace services.
  • Support travel management, corporate cards, and global travel policy implementation.
  • Manage supplier contracts, procurement, and local office policies.
  • Coordinate onboarding and offboarding processes.
  • Organise office events and support company culture.
  • Assist with office moves, seating plans, and workplace projects.
  • Manage the office budget and monitor spending; support finance processes.
  • Review and approve workplace invoices; drive sustainability initiatives.

Job description

We're delighted to be partnering with our longstanding client, EQT, a leading global investment organisation, to find an experienced Office Manager for their Amsterdam office.

EQT has over 1,900 employees across 60+ offices worldwide. Their Amsterdam office is located in Oud Zuid in two charming classical houses close to the Concertgebouw, creating a distinctive and inspiring work environment. The office is home to around 30 professionals focused primarily on life sciences, alongside colleagues in private equity, real estate, and support functions.

The Role

Reporting to the Workplace Operations Associate Director, you will take ownership of the day-to-day running of the Amsterdam office, ensuring a seamless employee and visitor experience while managing facilities, vendors, budgets, compliance, and workplace initiatives.

Key Responsibilities
  • Oversee the smooth day-to-day running of the Amsterdam office and act as the main contact for global teams.
  • Manage the Receptionist and ensure an excellent visitor and employee experience.
  • Lead facilities, vendors, maintenance, health & safety, security, and workplace services.
  • Support travel management, corporate cards, and implementation of global travel policies.
  • Manage supplier contracts, procurement, and local office policies.
  • Coordinate onboarding and offboarding processes.
  • Organise office events and support company culture.
  • Assist with office moves, seating plans, and workplace projects.
  • Manage the office budget and monitor spending.
  • Support finance, payroll, and accounting processes.
  • Review and approve workplace invoices.
  • Drive sustainability initiatives and support reporting requirements.
  • Ensure compliance with company policies, data protection, and local regulations.
  • Oversee health & safety procedures, risk management, and mandatory training.
  • Act as the local contact for emergency and crisis management.
Candidate Profile
  • 5-7+ years' experience in Facilities/Office Management, ideally within private equity, financial services, consultancy, legal, or professional services environments.
  • Fluent Dutch and English is essential.
  • Based in or near Amsterdam.
  • Strong organisational, communication, and stakeholder management skills.
  • Experience managing vendors, budgets, facilities, and office operations.
  • Proficient with Microsoft Office, Google Workspace, Zoom, Slack, and similar tools.
  • Comfortable working primarily office-based.
