Do you want to be part of a vibrant, international team? 7BEAUFORT is searching for a Team Lead Events to join our Meeting & Event team, working directly for and at our Client—a Global Footwear, Apparel and Sports Company with European headquarters in Hilversum.
About the Role
The Team Lead is a critical leadership role responsible for managing and supporting a team of event specialists. This role will oversee event planning operations, provide mentorship and guidance to the team, and work to optimize and streamline processes to ensure efficient, high-quality event delivery. The Event Specialist Team Lead will act as a key liaison between the event specialist team and the client, ensuring alignment with organizational goals and client satisfaction.
Key Responsibilities
1. Leadership and Team Management
- Manage, mentor, and support a team of Event Specialists, fostering a culture of collaboration and continuous improvement.
- Conduct regular one-on-one meetings, team check-ins, and performance reviews to provide constructive feedback and identify growth opportunities.
- Serve as the primary point of escalation for planning team challenges, offering solutions and guidance as needed.
2. Operational Oversight
- Conduct intakes with meeting owners, manage event assignments, and monitor team workload and resource allocation to ensure balance and productivity.
- Oversee the end-to-end event planning process, ensuring deadlines, budgets, and client expectations are consistently met or exceeded.
- Develop, implement, and maintain clear planning standards, procedures, and documentation to ensure consistency across all events.
- Lead the creation and upkeep of team resources, including process guides, templates, and SOPs.
3. Training & Development
- Own and lead the onboarding and ongoing training of planning team members on current and new operational processes.
- Serve as a mentor to planners, conducting regular 1:1s to assess performance, identify areas for growth, and provide coaching or support.
4. Process Optimization
- Evaluate existing planning workflows and identify opportunities for improvement.
- Collaborate on the implementation of tools, technologies, and strategies to streamline planning operations.
- Stay informed of industry trends and innovations to enhance the team's capabilities
5. Cross-Functional Collaboration
- Work closely with the Lead, EHQ Event and Workplace Operations to align event planning strategies with organizational objectives.
- Act as the main contact between Contractor (7BFRT) and GPS Events on all event operational matters and day-to-day team-related matters.
- Work closely with the GPS Event Planning Specialist Operations on all incoming T2 and T3 EHQ event requests before intakes are completed.
- Collaborate with other departments, such as web registration, intake + scheduling, technology, and business insights, to ensure seamless execution of events.
- Represent the Event Specialist planning team in Operational meetings and provide insights and updates on operational performance.
6. Quality Assurance and Client Satisfaction
- Act as a liaison between the event specialist planning team and client stakeholders and key contacts.
- Ensure all events meet the highest standards of quality and professionalism and that the planning team consistently meets or exceeds SLAs and KPIs.
- Provide support to Event Specialists in resolving client concerns or issues, ensuring a positive client experience.
- Collect and analyze feedback to drive continuous improvement in service delivery.
7. HR Related Tasks
- Build a strong professional team, an open culture, trust, and inclusivity.
- Manage internal team dynamics with a solution-oriented mindset.
- Coaching team members via bi-weekly one-on-ones.
- Manage sickness reporting and leave requests (monitoring block-out periods and submission deadlines).
- Ensure team visibility.
- Conduct mid-year and year-end performance reviews.
The Profile
Experience & Education
- Experience: 5+ years in event planning, preferably with mid-to-high-level complexity events.
- Operations: Proven experience in operations management, preferably within the meetings and events industry.
- Leadership: 2+ years of direct people management.
Skills
- Strong leadership skills with a track record of developing teams and fostering a positive workplace culture.
- Excellent problem-solving abilities and a proactive approach to improving processes.
- Excellent interpersonal and communication skills; comfortable interfacing with both clients and internal teams.
- Proven ability to develop and enforce operational processes in a collaborative and supportive way.
- Flexible, able to adapt fast, proactive, and able to prioritize.
- Passionate about efficiency through technology and innovation.
- Strong organizational skills and the ability to manage multiple priorities simultaneously.
- Experience with scheduling tools and project management systems is a plus.
- Knowledge of the Dutch event and hospitality market (restaurants, venues, suppliers, etc.) is a plus.
- Fluent in English, both written and spoken.

Good to Know
This role is in-person, with the primary expectation of being on-site at the client’s headquarters a minimum of 4 days per week (and 5 days per week when required).
