Job summary

Nebius Amsterdam is seeking a Design Office Coordinator to support mechanical and electrical design teams. You’ll organize information, coordinate activities and ensure the team has what it needs to move projects forward. This junior role suits someone with strong admin skills and an interest in engineering and data centre infrastructure.

Work with engineers to gain exposure to systems powering AI facilities, and grow toward more technical responsibilities as experience builds.

Qualifications

• Approximately 2–3 years of experience in administration, project support or coordination.
• Strong organisational skills, attention to detail and follow-up on actions.
• Clear written and spoken English with a collaborative approach.
• Comfort with everyday office tools: spreadsheets, documents, presentations, filing systems.
• Interest in mechanical or electrical engineering and building services.
• Ability to manage several priorities and communicate when attention is needed.
• Availability to work in Amsterdam.

Responsibilities

• Coordinate design meetings, prepare agendas, capture decisions and follow up on actions.
• Maintain organised records of drawings, specifications, reports and other documents with version control.
• Support design schedules and deliverable trackers to meet deadlines.
• Coordinate document circulation for review and track comments to closure.
• Assist engineers with project information and presentation materials.
• Maintain registers of technical queries and decisions, directing questions to engineers.
• Support communication between mechanical and electrical engineers, consultants and project teams.
• Help improve templates, filing systems and processes as the design office grows.
• As knowledge grows, assist with drawing, scheduling or technical documentation tasks under supervision.
