Walton County Emergency Management Agency is seeking an Administrative Assistant to provide comprehensive administrative support to Public Works operations. The role handles telephone reception, visitor assistance, payroll in the Office Manager's absence, requisitions, invoices, and budget monitoring.
The position also manages records, schedules, and communications, including website and social media upkeep.
This position is responsible for providing administrative support for Public Works operations. Answers telephone and greets visitors; provides information and assistance; takes messages and makes appointments; refers to appropriate personnel. Prepares and completes bi-weekly payroll in the absence of the Office Manager. Enters requisitions for purchase orders. Maintains Public Works Capital Asset files. Reviews and prepares invoices for payment; coordinates the vendor payment process. Monitors budget accounts in the absence of the Office Manager. Initiates and maintains a variety of files and records. Organizes auction of county surplus property, Types and proofreads a wide variety of reports, letters, and memoranda from rough draft or verbal instruction; independently composes correspondence. Maintains and organizes records for department safety training. Maintains appointments schedules and calendars. Prepares and completes budget transfers for expenditure accounts in absence of the Office Manager, Coordinates the flow of paperwork between County departments. Orders and maintains office supplies. Maintains department website and social media sites. Receives, sorts, processes, and forwards incoming mail; prepares outgoing mail. Performs related duties.

Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education. Knowledge of grant management and application process. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
