Oversee daily haulage operations, including transportation of loaded and empty containers.
Ensure timely collection and delivery of containers to ports, terminals, depots, warehouses, and customer locations.
Coordinate daily truck movements and ensure efficient utilization of the fleet.
Monitor delivery schedules and resolve operational issues that may affect service delivery.
Ensure all haulage activities comply with company SOPs and operational requirements.
Key Responsibilities1. Haulage & Transport Operations
- Oversee daily haulage operations, including transportation of loaded and empty containers.
- Ensure timely collection and delivery of containers to ports, terminals, depots, warehouses, and customer locations.
- Coordinate daily truck movements and ensure efficient utilization of the fleet.
- Monitor delivery schedules and resolve operational issues that may affect service delivery.
- Ensure all haulage activities comply with company SOPs and operational requirements.
2. Fleet Management
- Monitor the availability, utilization, and condition of trucks and trailers.
- Coordinate vehicle servicing, preventive maintenance, inspections, and repairs.
- Ensure all vehicles are roadworthy and comply with relevant regulatory requirements.
- Monitor vehicle downtime and take corrective action to minimize operational disruptions.
- Maintain proper records of vehicle maintenance and related documentation.
3. Driver Management
- Supervise and manage drivers, assistant drivers, and other haulage personnel.
- Prepare and monitor driver schedules, assignments, and work allocation.
- Monitor driver attendance, punctuality, performance, and productivity.
- Ensure drivers comply with traffic laws, company policies, and safety procedures.
- Address driver performance issues, misconduct, complaints, and disciplinary matters when required.
- Conduct regular briefings on safety, operational procedures, and customer requirements.
4. Port, Terminal & Depot Coordination
- Coordinate with port, terminal, depot, shipping lines, and relevant parties regarding container movements.
- Ensure smooth collection and return of containers within the required time frame.
- Monitor port congestion, terminal restrictions, booking issues, and operational delays.
- Resolve problems involving container release, gate-in/gate-out, documentation, and damaged containers.
- Maintain good working relationships with port and terminal operators.
5. Route & Trip Planning
- Plan efficient routes based on delivery schedules, traffic conditions, road restrictions, and customer requirements.
- Optimize truck deployment to reduce empty trips, waiting time, fuel consumption, and unnecessary mileage.
- Monitor trip progress and take immediate action when delays occur.
- Ensure drivers follow approved routes and operational instructions.
6. Documentation & Compliance
- Ensure proper handling of Delivery Orders (DO), container documents, gate passes, work tickets, and other haulage documentation.
- Verify container numbers, seal numbers, booking details, and delivery information.
- Ensure all required documents are properly completed, signed, and submitted.
- Maintain accurate operational records and reports.
- Ensure compliance with applicable transportation, road safety, and haulage regulations.
7. Safety Management
- Ensure all haulage operations are conducted safely and in accordance with company safety policies.
- Monitor driver compliance with PPE, speed limits, driving hours, and safe driving practices.
- Investigate accidents, incidents, near misses, and vehicle damage.
- Implement corrective and preventive actions to reduce accidents and operational risks.
- Promote a strong safety culture among drivers and operations staff.
8. Cost & Budget Control
- Monitor haulage operating costs, including fuel, tolls, maintenance, overtime, and other operational expenses.
- Identify opportunities to reduce unnecessary costs and improve operational efficiency.
- Monitor fuel consumption and vehicle mileage.
- Assist management in preparing the haulage department's budget and cost projections.
9. Customer & Service Management
- Coordinate with customers regarding delivery schedules, operational requirements, and service issues.
- Respond promptly to customer complaints and operational escalations.
- Ensure customer requirements are communicated clearly to drivers and operations staff.
- Monitor service performance and ensure agreed service levels are achieved.
10. Team Leadership & Performance
- Lead the haulage operations team and ensure smooth daily coordination.
- Set operational targets and KPIs for drivers and transport personnel.
- Monitor productivity, trip completion, turnaround time, utilization, and service performance.
- Conduct regular operational meetings and performance reviews.
- Train and develop staff to improve operational efficiency.
11. Reporting & Analysis
- Prepare daily, weekly, and monthly haulage operation reports.
- Monitor key performance indicators such as:
- Number of trips completed
- Truck utilization
- On-time delivery
- Fuel consumption
- Vehicle downtime
- Driver productivity
- Accident/incident rate
- Empty mileage
- Maintenance costs
- Analyze operational data and recommend improvements to management.
Key Requirements
- Diploma/Degree in Logistics, Transportation, Supply Chain Management, Business Administration, or related field.
- Minimum 5 years of experience in haulage, transport, fleet, or logistics operations.
- Experience managing container haulage, port operations, and truck fleets is highly preferred.
- Strong knowledge of transport operations, fleet management, and safety requirements.
- Good leadership, communication, coordination, and problem-solving skills.
- Able to work under pressure and manage urgent operational issues.
- Willing to work flexible hours, weekends, or public holidays when required by operations.
