Job summary

Jora Malaysia is seeking a Warehouse and Distribution Executive to assist in warehousing, distribution, and logistics operations across Malaysia. The role requires coordinating with warehouses and freight forwarders, managing inventories, and ensuring compliance with EH&S, Quality and regulatory policies.

Responsibilities include coordinating shipments, performing stock reconciliations, and supporting invoicing and customs clearance processes.

Qualifications

• Degree in Supply Chain Management or Business Administration.
• At least 1 year of relevant experience in a warehouse/shipping/freight forwarding industry.
• Knowledge of warehousing methods and inventory-control systems.
• Meticulous, organized, detail oriented with strong numerical and analytical skills.
• Proficient in Microsoft Office such as Excel.

Responsibilities

• Coordinate with Warehouse/Distributor on all incoming shipments and update the system.
• Perform inventory movement coordination and periodic reconciliation.
• Participate in monthly KPI reviews with Warehouse, Distributor and Freight Forwarders.
• Arrange billing coordination with forwarders and ensure SOP compliance.
• Oversee shipping document activities and assist in planning system processes.
• Coordinate with finance on accruals and payments.
• Support DD shipments documentation and customs clearance as needed.
• Upload DD Wholesale License after renewal and support regional activities.

The Warehouse and Distribution Executive is to assist in warehousing, distribution, and logistics operation. The incumbent will also provide assistance in managing the relationship of local supplier/vendors and third-party intermediary. He/she is to ensure adherence and compliance to EH&S, Quality, Regulatory, SOX, HCBI policies and standards. This role will need to support Malaysia Warehouse and Distribution activities.

Key responsibilities:

Warehouse and Logistics Management

Responsible for coordinating with Warehouse/distributor on all incoming shipment and updating into system accordingly.

Coordination with warehouse/distributor on inventory movement and perform reconciliation on periodic basis.

Participating in Monthly business/KPI's & operational issues review with Warehouse, Distributor and Freight Forwarders/Custom Brokerage.

Co-ordination with warehouse and freight agents on timely and accurate billing and monthly statement of accounts.

All appointed transporter complies with quality agreement and other requirement as per SOPs.

Oversees the daily activities of shipping documentations.

Assisting other functional team i.e planning on system related processes.

Co-ordinate with finance team on financial matters i.e Accrual, payment.

To co-ordinate communicate between Planners and Forwarder with regards to NEL/EA and NIL/ IA for Dangerous Drug (DD) shipments.

To follow-up with Forwarder on the handover of the hardcopy of ORIGINAL NIL / IA documents to RA PIC in JJMY office upon delivery of the shipments to Warehouse for DD shipments.

Provide additional necessary documents or info that may be needed for Pharmacy/Customs Clearance of all J&J shipments.

To arrange the schedule pickup with Roambee to return the loT Visual and communicate the pickup date to Warehouse team. Warehouse shall return it to Roambee accordingly.

To conduct annual stock check & report to if there is any discrepancy found during the stock check. Report to RA & BQ if any discrepancy for DD quantity.

To upload the DD Wholesale License annually once it has been renewed by Distributor.

To provide support both Malaysia and SMIP Cluster Activities as backup.

To support Indonesia Market as the customer service for Invoicing activities.

Processes and Reporting

Ensure Warehouse/Distributor and Freight Forwarders KPI's are meeting the targets set.

Continuous improvement of Warehouse and Logistics processes to support the deliver superior Customer Service levels and drive operational excellence.

Identify strategic opportunities to optimize warehouse/Logistics and delivery productivity levels, costs improvement process etc.

Requirements:

Degree in Supply Chain Management / Business Administration, or any related discipline.

At least 1 year of relevant experience in a warehouse/shipping/ freight forwarding industry

Knowledge of warehousing methods and procedures, inventory and stock control record keeping, and automated inventory-control systems.

Meticulous, organized, detail oriented with strong numerical and analytical skills

Proficient in Microsoft Office such as Excel
