Job summary

Port of Tanjung Pelepas is seeking an Executive, Tender to join the Procurement & Tender team in Malaysia. The role oversees end-to-end tender activities from initiation to award, ensuring efficiency, competitiveness and compliance with PTP’s procurement requirements.

Key responsibilities include preparing tender documentation, coordinating with business owners and vendors, evaluating proposals, and supporting cost-saving initiatives while maintaining quality and delivery standards.

Qualifications

• Bachelor's degree or professional qualification in a relevant field.
• Minimum 5 years of experience in purchasing/procurement, with tender and contract management exposure.
• Good understanding of procurement processes, tendering, sourcing and commercial evaluation.
• Strong negotiation, analytical, communication and stakeholder management skills.
• Ability to manage multiple tender activities and deadlines independently.
• Familiarity with Incoterms and SLA; knowledge of procurement terminology.

Responsibilities

• Manage end-to-end tender activities with key milestone and award timelines.
• Prepare, review and coordinate tender documentation and bid submissions.

• Maintain tender records, databases and Committee documentation.
• Support vendor performance monitoring and relationships with key vendors.
• Ensure tender activities comply with PTP policies, HSSE and governance.

We are looking for a proactive and commercially minded Executive, Tender to join our Procurement & Tender team.

This role will support and manage tender activities from initiation through evaluation and award, ensuring the process is completed efficiently, competitively and in accordance with PTP's procurement requirements.

Key Responsibilities

• Manage and coordinate end-to-end tender activities, ensuring key milestones and award timelines are met.
• Prepare, review and coordinate tender documentation, bid submissions and related procurement records.
• Coordinate tender meetings and work closely with business owners, vendors, contractors and other stakeholders throughout the tender process.
• Review and evaluate commercial proposals to ensure compliance with specifications, budget requirements and market conditions.
• Support tender/quotation evaluation, negotiation and award recommendations.
• Monitor tender approvals and ensure subsequent purchasing activities are processed accurately and timely through the ERP system.
• Analyse procurement information, identify supply chain risks and recommend practical solutions.
• Support cost-saving and cost-avoidance initiatives while maintaining quality and delivery requirements.
• Maintain accurate tender records, databases, tracking reports and Tender Committee documentation.
• Support vendor performance monitoring and maintain effective working relationships with key vendors.
• Ensure all tender and procurement activities comply with applicable PTP policies, procedures, HSSE and governance requirements.

What We're Looking For

• Bachelor's Degree or relevant professional qualification from a recognised institution.
• Minimum 5 years of relevant experience in purchasing/procurement, preferably with exposure to tender and contract management.
• Good understanding of procurement processes, tendering, sourcing and commercial evaluation.
• Strong negotiation, analytical, communication and stakeholder management skills.
• Able to manage multiple tender activities and deadlines independently.
• Familiarity with procurement terminology and commercial terms such as Incoterms and SLA.
• Experience with SAP, Oracle or other ERP/procurement systems will be an advantage.
• Exposure to vendor management, sourcing and supply chain activities is preferred.
• CIPS or CILT certification will be an added advantage.
