Job summary

TMK Chemical Bhd. in Malaysia is seeking a detail-oriented Procurement Specialist responsible for identifying new vendors, evaluating suppliers, and compiling quotations that meet technical specs.

You will prepare POs, track deliveries, verify invoices, maintain SAP data, and collaborate with Engineers, Warehouse and Accounts to ensure compliant, timely purchasing and accurate records.

Qualifications

• Sourcing and evaluating new vendors to meet technical specifications.
• Prepare and compare vendor quotations ensuring compliance with requirements.
• Coordinate with engineers and procurement team on purchasing needs.
• Ensure all purchased items meet technical specifications and quality.
• Handle invoices and matching documents (PO, DO, Invoice) with supporting docs.
• Resolve technical issues with vendors related to incoming items.
• Maintain purchasing reports and records for audit trails.
• Keep internal and external documentation organized for technical relevance.
• Maintain physical and digital filing systems for procurement documents.
• Coordinate with Engineers (Projects, Maintenance, Process), Warehouse and Accounts.

Responsibilities

• Pro actively source and assess new vendors and quotations.
• Prepare POs and liaise with suppliers for timely delivery.
• Follow up on deliveries and monitor supplier performance.
• Ensure compliance with technical specs and quality standards.
• Process invoices and documents, ensuring accuracy and supporting evidence.
• Collaborate with Engineers, Warehouse and Accounts on purchasing matters.
• Maintain SAP records and procurement databases with accurate data.
• Support monthly stock takes and internal audits.
• Maintain organized filing systems for procurement docs.

Job description

To be responsible on new vendor (technical purchases) sourcing, registration and evaluation for new and annual.

To compile vendor Quotation Comparisons inclusive of checking and verifying specifications and prices that meet the requirements.

To prepare Purchase Order (PO) and liaise directly with the vendor.

To follow up with vendor and track delivery schedules to ensure timely delivery.

To ensure all purchased items meet the required technical specifications and quality.

To be responsible on the invoice handling for payment and documents matching processes (PO, Delivery Order and Invoice / Proforma Invoice are complete with supporting document e.g: Pictures references, Technical Datasheet, Request for Inspections and etc).

To resolve incoming or receiving items technical related issues with vendors.

To prepare and maintain purchasing reports and records.

To ensure proper internal and external documentations especially those are technically related.

To maintain systematic filing system (softcopy and hardcopy).

To coordinate with Engineers (Projects, Maintenance and Process), Warehouse and Accounts on purchasing related matters.

To perform data entry and maintain accurate records in the SAP system and purchasing database.

To comply with company procedures, safety requirement, management system and support internal or external audits.

To participate in monthly stock take.

To work closely with Purchasing Manager on daily procurement activities and other administrative tasks.

To perform any other tasks as and when required and instructed by the superior or by the Management.
