The Team Manager of PtP is responsible for leading and optimizing the PtP function within the organization, ensuring that all processes are executed in accordance with established Service Level Agreements (SLAs). Drive team productivity and build team capability.

The role drives operational excellence through effective people leadership, process governance, stakeholder management, and continuous improvement initiatives. The incumbent builds strong partnerships with Country Finance, Procurement, Internal Controls, Treasury, and other stakeholders while ensuring accurate vendor data maintenance, timely processing of Invoices and payment execution, regulatory compliance, and adherence to CRISP, ICF, and audit requirements.

The Team Manager is responsible for driving service performance, team capability development, process standardization, automation opportunities, and active participation in regional and global initiatives to support best-in-class shared service operations.

Ensure team is performing below activities to ensure we deliver Quality results;

• Ensure accurate and timely vendor creation, modification, extension, blocking, and deactivation.
• Maintain vendor master data governance and data quality standards.
• Review supporting documentation for completeness and compliance.
• Perform vendor screening and validation activities according to company policies.
• Ensure adherence to segregation of duties and vendor governance controls.
• Monitor vendor master quality reports and resolve exceptions promptly.
• Drive standardization of vendor data maintenance processes across countries.
• Review SOA recon are properly reconciled on a monthly basis. Follow-up with the team and Country Finance to resolve outstanding invoice issues in timely manner.
• Invoice Review and Verification:
• Examine incoming invoices for accuracy, completeness, and compliance with company policies and contractual obligations.
• Verify that invoices match purchase orders and receiving documents.
• Data Entry and Record Management:
• Accurately input invoice data into the financial system, ensuring data integrity and consistency.
• Maintain organized records of all invoices, payment documentation, and related correspondence.
• Discrepancy Identification and Resolution:
• Identify discrepancies if any between invoices, purchase orders, and receipts, and work collaboratively with relevant departments (e.g., procurement, receiving) to resolve issues promptly.
• Communicate effectively with vendors to clarify invoice discrepancies or payment inquiries.
• Payment Processing:
• Ensure timely payments in accordance with agreed payment terms, ensuring optimal cash flow management.
• Monitor payment schedules and prioritize invoices based on due dates and cash flow considerations.
• Compliance and Internal Controls:
• Adhere to internal controls and accounting policies to mitigate risks and ensure compliance with financial regulations.
• Assist in audits by providing necessary documentation and responding to inquiries related to accounts payable processes.
• Serve as a point of contact for vendors regarding invoice inquiries, payment status, and account reconciliation.
• Foster positive relationships with vendors to ensure smooth operations and timely resolution of issues.
• Reporting and Analysis:
• Generate and analyze reports related to accounts payable activities, such as aging reports, to support financial planning and decision-making.
• Identify opportunities for process improvements to enhance efficiency, automation and effectiveness in invoice processing.
• Stay updated on best practices in accounts payable and contribute to process improvement initiatives.
• Participate in training and development opportunities to enhance skills and knowledge in financial operations.

Requirements:

• At least 5 to 7 years of work experience, preferably in a finance environment (similar or comparable position in a Shared Service Centre is an advantage)
• At least 2 to 4 years of leadership + process or subject matter expertise.

Strong experience in Accounts Payable (Vendor Master Data, Invoice Processing, Payments) Shared Services Operations, or related finance functions.

• Strong understanding of Shared Services operating models.
• Knowledge of ERP systems such as SAP, Basware, AP Protect and related finance platforms.
