Job summary

Coherent Corp. Malaysia is seeking a Shipping/Logistics professional to coordinate export/import activities, ensure on-time delivery, and maintain documentation for forwarders and customers.

Proficiency in Excel and logistics systems will help manage warehousing and reporting tasks in a fast-paced environment. The role requires a bachelor’s degree in Business Administration or equivalent with at least 2 years of relevant experience in a multinational setting, strong communication, and analytical

• Bachelor's degree in Business Administration or equivalent with at least 2 years in shipping/logistics in an MNC.
• Proficient in spreadsheet applications and warehouse/logistics management is a plus.
• Excellent interpersonal communication and ability to report information/data.
• Logical and analytical thinking skills.

Responsibilities

• Do whatever it takes to meet customer expectations in compliance with OTD 95%.
• Coordinate export flow and documentation and assist in import/export activities.
• Oversee outbound activities including shipment verification and booking with forwarders.
• Monitor shipments, respond to queries from couriers/customers/forwarders, and ensure timely declarations.
• Coordinate with internal teams for customer requests and audit retrieval of shipping documents.
• Verify and source freight for shipments over 250 kgs and manage billing/invoices.

Primary Duties & Responsibilities

• Do “Whatever it takes” to meet or exceed our customers' expectations in compliance to OTD 95%.
• Coordinate flow and documentation of export procedures.
• Assist & Support in all shipping import/ export activities which deem necessary.
• Be aware of ISO 9001 & ISO 14001 procedures and policies.
• Project improvement as required.
• Responsible & Oversee Outbound activities such as:-
• Physical Shipment verification (shipment box labels/ shipping documents) and shipment release to forwarder
• Send booking confirmation to nominated forwarder for shipment under Ex-works & FCA/ FOB
• Monitor shipped shipments based on Fedex/ DHL pending list
• Resolve and reply to queries from Courier/ customer/ Forwarders.
• Co-ordinate & Send shipping documents to forwarders/ courier express for custom declaration before cut-off time.
• Coordinate with Inside Sales/ Planners for Customer Special Request (Palletization, Arrival Ship Notice, Oracle Transportation Management System Entry)
• Attend to audit request for retrieval of shipping documents
• Verifying Billing Invoice from forwarders
• Sourcing and Negotiation of Freight for shipment above 250 kgs
• Segregation and Sorting of Approved Custom Form for Filing
• Any other ad-hoc request as directed by superior from time to time.

Education & Experience

• A bachelor’s degree in Bachelor's Degree in Business Administration or its equivalents with at least 02 years of relevant work experience in shipping/ logistics in a MNC with high mix high volume manufacturing environment.. (functional skills)
• Must be PC literate in spreadsheet applications, knowledgeable & experience in warehousing or logistics management will be an added advantage.
• Excellent interpersonal communication skills and reporting of information/data.
• Possess logical thinking and analytical thinking skills.

• This role is 100% onsite / hybrid / remote
• Willing to travel to custom offices to resolve issues.
