Job summary

Infineon Technologies Malaysia invites applications for a Talent Acquisition Specialist focusing on work passes and immigration-related onboarding. You will manage end-to-end applications, liaise with government agencies, and guide new hires on eligibility while maintaining meticulous records and ensuring regulatory compliance.

The role requires strong customer service, stakeholder management, and proficiency in MS Office, with familiarity in HR systems such as SAP, GMDS, Umantis, and Eightfold

Qualifications

• Bachelor's Degree, Post Graduate Diploma, or Professional Degree in any field, preferably in HR/Business Admin or related discipline
• 0 to 1.5 years of relevant working experience is preferred
• Diploma holders should possess a minimum of 10 years of relevant experience
• Strong customer service and stakeholder relationship management skills
• Proficient in Microsoft Office applications (Excel, Word, PowerPoint)
• Strong problem-solving, analytical, and organizational skills
• Ability to proactively identify issues and elevate to the Manager in a timely manner
• Fast learner with the ability to quickly acquire new knowledge and skills
• Hands-on experience with HR systems such as SAP, GMDS, ATS Umantis and Eightfold would be an added advantage

Responsibilities

• Manage end-to-end work pass applications, renewals, cancellations, and appeals

• Provide guidance on work pass eligibility and procedures
• Maintain records and monitor expiration dates for renewals
• Ensure processes comply with local employment and immigration laws
• Assist audits, inspections, and compliance reviews
• Stay updated on immigration and labor law changes and inform stakeholders
• Support TA team in hiring and onboarding foreign employees
• Handle work pass inquiries with professionalism and discretion
• Coordinate accommodation for foreign hires
• Raise and manage Purchase Requisitions (PRs) per procedures
• Verify invoices and collaborate with Finance for payments

Your role

Key responsibilities in your new role

• Manage the end-to-end process of work pass applications, renewals, cancellations, and appeals e.g., Employment Pass, Dependent Pass, Work Permit, etc


• Liaise with relevant vendors and government agencies (e.g., the Immigration Department of Malaysia, Expatriate Services Division (ESD), etc.) to ensure timely approvals and compliance


• Provide guidance to internal stakeholders and new hires on work pass eligibility requirements and application procedures


• Maintain accurate records and monitor work pass expiration dates to ensure timely renewals, cancellations, or terminations


• Ensure all processes and documentation comply with local employment laws and immigration regulations


• Assist with audits, inspections, and compliance reviews related to work passes and immigration matters


• Stay updated on changes in immigration and labor laws and communicate relevant updates to internal stakeholders


• Support the HR Talent Acquisition team in the hiring and onboarding of foreign employees by expediting work pass application processes


• Handle work pass-related inquiries and issues with professionalism, discretion, and efficiency


• Coordinate temporary and long-term accommodation arrangements for foreign hires


• Raise and manage Purchase Requisitions (PRs) in accordance with company procedures


• Verify invoices, coordinate approval processes, ensure accuracy, and collaborate with the Finance team to facilitate timely payment processing


• Fluent in English; proficiency in Bahasa Malaysia and Thai is an added advantage


• Must be willing and able to travel independently within Malaysia for immigration-related matters e.g., visits to Immigration Offices, police stations, government agencies, etc

Qualifications And Skills To Help You Succeed

• Bachelor's Degree, Post Graduate Diploma, or Professional Degree in any field, preferably in Human Resources, Business Administration, or a related discipline


• 0 to 1.5 years of relevant working experience is preferred


• Candidates with a Diploma qualification should possess a minimum of 10 years of relevant working experience


• Strong customer service and stakeholder relationship management skills


• Proficient in Microsoft Office applications, including MS Excel, MS Word, and MS PowerPoint


• Strong problem-solving, analytical, and organizational skills


• Ability to proactively identify potential issues and elevate them to the Manager in a timely manner


• Fast learner with the ability to quickly acquire new knowledge and skills


• Hands‑on experience and working knowledge of HR systems, such as SAP, GMDS, and Applicant Tracking Systems (ATS), including Umantis and Eightfold, would be an added advantage

Note: 1-year renewable contract under 3rd party payroll partner and entitled to benefits according to the partner company
