Job summary

IOB Technology Sdn Bhd is seeking a Senior Procurement Executive to lead end-to-end procurement activities, including supplier sourcing, bid evaluation, price negotiation, and PO issuance. You will liaise with local and overseas suppliers to ensure timely delivery aligned with production and project schedules.

The role involves coordinating with Engineering, Production, QA and Finance, maintaining accurate records, and driving supplier performance improvements in a ISO 9001:2015 environment.

Qualifications

• Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Procurement, or a related field.
• Senior Procurement Executive: Minimum 2 years of relevant working experience in procurement or purchasing in a manufacturing, engineering or project-based environment.
• Procurement Executive: Minimum 1 year of relevant purchasing/procurement experience; fresh graduates with exposure may be considered.

Responsibilities

• Manage end-to-end procurement activities including sourcing, quotation evaluation, price negotiation and PO issuance.
• Coordinate with Engineering, Production, QA, Finance and other departments to support operations.
• Prepare procurement reports, cost analyses, and maintain procurement records and supplier databases.
• Monitor supplier performance and ensure compliance with policies and ISO requirements.
• Mentor junior team members and assist in strategic sourcing as needed.

Job description

Senior Procurement Executive / Procurement Executive

Manage end-to-end procurement activities, including supplier sourcing, quotation evaluation, price negotiation, purchase order issuance, and order follow-up.

Liaise with local and overseas suppliers to ensure timely delivery in accordance with production and project schedules.

Prepare and process purchase orders, delivery orders, import documentation, and other procurement-related documents.

Coordinate with Engineering, Production, Quality Assurance, Finance, and other departments to support operational and project requirements.

Maintain accurate purchasing records, supplier databases, pricing information, and procurement documentation.

Monitor supplier performance and resolve issues relating to delivery, quality, pricing, and service.

Ensure procurement activities comply with company policies, quality procedures, and ISO requirements.

Prepare procurement reports, cost analyses, and other management reports as required.

Provide general administrative support, including filing, data entry, and responding to internal and external enquiries.

Support procurement planning, supplier development, and continuous improvement initiatives. Senior-level candidates may also be required to mentor junior team members and assist the Purchasing Manager in strategic sourcing activities.

Requirements

• Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Procurement, or a related field.
• Senior Procurement Executive: Minimum 2 years of relevant working experience in procurement or purchasing, preferably in a manufacturing, engineering, or project-based environment.
• Procurement Executive: Minimum 1 year of relevant purchasing/procurement experience (fresh graduates with relevant exposure may be considered).
• Experience in handling import/export documentation and coordinating with freight forwarders, customs agents, and relevant authorities is an advantage.
• Strong negotiation, communication, and interpersonal skills.
• Good analytical, organizational, and problem-solving abilities with attention to detail.
• Proficient in Microsoft Office applications; experience with ERP or purchasing systems is an added advantage.
• Good command of English and Bahasa Malaysia, both written and spoken.
• Able to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
