Sin Heap Lee Group of Companies is seeking an experienced HR professional to oversee employee records, attendance, and HR administration. You will manage letters, governance, and compliance with Malaysian employment laws, while coordinating payroll, benefits, and training initiatives.
The role requires leadership, strong HRIS skills, and the ability to implement company policies and procedures across the organisation. Collaboration with multiple departments and external bodies will be essential.
Oversee employee records and ensure personnel files are complete, accurate, and properly maintained.
Manage attendance, leave, employee movements, and other HR administrative processes.
Oversee the preparation and issuance of employment-related letters, including appointment, confirmation, transfer, promotion, salary adjustment, warning, resignation acceptance, and termination letters.
Ensure HR records and confidential employee information are properly secured and retained.
Maintain accurate HR information systems and employee databases.
Develop, review, and maintain Company policies, procedures, guidelines, and employee handbooks.
Ensure HR practices comply with applicable Malaysian employment legislation and regulatory requirements.
Monitor developments in employment laws and recommend necessary policy or procedural changes.
Ensure proper governance, confidentiality, and documentation of employee information.
Formulate and recommend HR policies and procedures, and take initiative to propose, drive, and implement HR initiatives to support the Company’s corporate objectives.
Manage employee compensation, allowances, and benefits in accordance with approved Company policies.
Coordinate annual salary reviews, increments, promotions, bonuses, and other remuneration exercises.
Review and administer employee benefits, including medical, insurance, and allowances.
Monitor payroll‑related changes and ensure accurate submission of employee information for payroll processing.
Ensure statutory contributions, deductions, and employee benefits are properly administered.
Manage employee grievances, complaints, disciplinary matters, and workplace disputes.
Conduct or coordinate investigations into alleged misconduct and workplace incidents.
Manage disciplinary procedures, including show‑cause letters, domestic inquiries, warning letters, and other disciplinary actions.
Manage resignation, termination, dismissal, retrenchment, separation, and other cessation‑of‑employment matters.
Represent or support the Company in discussions or proceedings with relevant labour and industrial relations authorities.
Maintain proper documentation and records relating to employee relations and disciplinary matters.
Identify organisational and individual training needs in consultation with Department Heads.
Develop and coordinate the annual Training & Development Plan.
Monitor training effectiveness and employee development outcomes.
Coordinate HRD Corp‑related training applications, claims, and documentation, where applicable.
Ensure the HR & Administration Department complies with applicable ISO requirements.
Maintain proper HR & Administration documentation and records for internal and external audits.
Coordinate audit preparation, corrective actions, and follow‑up to ensure compliance with ISO requirements.
Ensure Company licences, permits, certificates, and regulatory approvals are properly maintained and renewed on time
Oversee and manage all HR & Administration matters, including but not limited to:
Office environment and general administrative matters.
Leave administration and maintenance of employee leave records.
Panel clinics, medical benefits, and employee insurance matters.
Door access, time attendance system, telephone system, and document centre administration.
Staff uniforms, office stationery, pantry supplies, and refreshments.
Company vehicles and related administrative matters.
Coordination and administration of employee‑related insurance matters, including renewals, claims, and liaison with insurance providers.
Ensure proper maintenance, updating, and confidentiality of employee records and HR documentation.
Any other duties and responsibilities as may be assigned by Director from time to time.
Manage the preparation of quotations, review of policies, and processing of insurance applications, renewals, endorsements, and policy issuance, ensuring accuracy and timely completion.
Handle and monitor General Insurance matters, including Motor, Commercial/Business, Property/Fire, Personal Accident, and other insurance products.
Prepare and manage documentation for new business, policy servicing, and insurance claims.
Monitor insurance premium payments, policy status, and renewal dates.
Manage company vehicle insurance and road tax renewals and maintain accurate records of all related documents, ensuring timely renewal and compliance.
Handle enquiries and provide day‑to‑day support to advisors, sales teams, business partners, and relevant internal departments.
Maintain accurate client, policy, and vehicle records and prepare relevant reports and tracking.
Monitor pending cases and follow up with customers, insurance companies, and other relevant parties to ensure timely completion.
Handle representatives’ licence applications and ensure all required documents are submitted and processed in a timely manner.
Bachelor Degree in Human Resources, Business Administration, Management, or a related field.
Minimum 5 years of relevant experience in Human Resources and Administration, preferably in the construction, property development, or hospitality industry.
Good knowledge of Malaysian employment legislation, labour laws, and statutory requirements.
Good knowledge of compensation and benefits, HR policies, employment practices, and employee relations.
Knowledge of General Insurance products and processes is required.
Experience in Motor Insurance / Automotive Insurance will be highly advantageous.
Hands‑on experience in recruitment, employee relations (ER), industrial relations (IR), disciplinary management, training, and HR administration.
Strong coordination, follow‑up, communication, interpersonal, and problem‑solving skills.
Strong leadership skills with the ability to lead, manage, and motivate a team.
Proactive, hands‑on, results‑driven, and able to work independently in a fast‑paced and expanding environment.
Analytical, detail‑oriented, organised, and strong in execution and follow‑through.
Good command of English, Mandarin, and Bahasa Malaysia, with the ability to communicate effectively with diverse employees, clients, suppliers, and associates.
High level of integrity, professionalism, confidentiality, and accountability.
Proficient in HRIS and payroll software, preferably HR2000.
Possess foundational knowledge of ISO 9001, ISO 14001, and ISO 45001 standards.
