Job summary

Destination Asia in Malaysia is seeking a Senior HR & Admin Executive (Payroll & Office Administration) who keeps the payroll running on time and ensures the office hums smoothly. You will own both payroll processes and core HR administration in a fast-paced regional team.

From onboarding and contracts to visa renewals, EPF/SOCSO/EIS, and HRIS data, you will be the dependable heart of our people operations.

Qualifications

  • Degree or Diploma in HR, Business Administration or a related field.
  • 3–4 years in HR, ideally in a diverse environment.
  • Hands-on payroll administration experience.
  • Working knowledge of EPF, SOCSO, EIS, PCB, HRD Corp and the Employment Act 1955.
  • Strong Excel skills and proficiency with an HRIS.

Responsibilities

  • Own end-to-end payroll processing monthly; ensure accuracy and timeliness.
  • Handle recruitment, onboarding, letters and contracts; maintain HR records.
  • Manage visa renewals, leave, attendance and offboarding.
  • Coordinate office administration, reception, events and vendor relations.
  • Support engagement activities and staff communications.

First, a bit about us

Destination Asia designs travel experiences across Malaysia, Singapore, Hong Kong and the wider ASEAN region. Our teams build the itineraries people remember for years — the temple at sunrise, the meal down a lane you'd never find alone, the trip that turns into a story.

None of that happens without a team that's paid correctly, supported properly and genuinely looked after.

That part is yours.

So, what's the job really like?

Honestly? No two weeks look the same.

Some days you're deep in payroll — heads down, spreadsheet open, getting every number exactly right because people are counting on it. Other days you're welcoming a walk-in candidate, planning the year-end party, or sitting with a colleague who just needs someone to listen.

You'll wear a few hats. Here they are, plainly:

People & Payroll — the heart of the job

This is around 60% of your time, and we've deliberately kept it as one thing rather than splitting it up. Because in practice it is one thing: the same person you write the offer letter for is the person whose payslip you process, whose EPF you register, whose leave you track and whose farewell you organise. You'll own people here from offer letter to final settlement.

The payroll bit

You own the monthly cycle end to end, working alongside our Labour Consultant. EPF, SOCSO, EIS, PCB, HRD Corp — accurate, on time, every single month.

This is the part of the job that doesn't bend. Payroll week is payroll week. But get it right and you've earned something genuinely valuable: the whole company trusts you.

The paperwork bit

Here's the honest version: a big chunk of your HR time goes on records and documentation. Not the glamorous part. The part everything else depends on.

You'll be responsible to basic recruitment screening, issue offer letters, employment contracts, confirmation letters, variation letters and acceptance of resignation — all correct under the Employment Act 1955, all filed properly. You'll own our HRIS: every new joiner live before Day 1, every leaver processed before month-end, every contract, MC, reference and exit interview uploaded and where it should be. You'll handle EPF, SOCSO and EIS registrations for new starters, run onboarding and offboarding, administer flexible work arrangement requests, and keep the personnel files audit‑ready — because one day someone will ask, and the answer needs to be there.

It's detailed work. It's deadline-bound. Done well, nobody notices. Done badly, everybody does.

Work directly with our Regional HR Manager — reports, leave liability, documentation, HRD Corp claims. She covers several markets, so having someone sharp on the ground in Malaysia makes a real difference to her, and gives you a front‑row view of how regional HR actually works.

The culture bit

And this matters every bit as much.

You'll own the engagement calendar: team activities, festive and cultural celebrations, recognition, the small things that turn an office into somewhere people are glad to walk into. Not just booking the venue — owning the plan, the budget and whether it actually landed.

You'll be the person colleagues come to when they're not sure who else to ask. Day-to-day questions, policy queries, occasionally the harder conversations. You'll make sure a new joiner's first week feels welcoming rather than administrative. You'll help run engagement surveys and — more importantly — help make sure something visibly happens afterwards.

And you'll recruit for junior and mid-level roles, from posting through to offer, giving every candidate the kind of experience that makes them speak well of us whether they get the job or not.

Office administrative bit

Reception, appointment scheduling, visitors, calls, couriers, pantry and office supplies, sustainability reporting, vendors, meeting rooms, the aircon that's making that noise again.

What you'll need

  • Degree or Diploma in HR, Business Administration or something related

  • 3–4 years in HR, ideally somewhere in a diverse environment

  • Real hands-on payroll administration experience — you've done this, not just watched it

  • Working knowledge of EPF, SOCSO, EIS, PCB, HRD Corp and the Employment Act 1955

  • Strong Excel and genuine comfort living in an HRIS day-to-day

  • Confident English and Bahasa Malaysia — you'll deal with everyone from new joiners to statutory bodies

  • Composure and sound judgement across the full range of employee situations — the calm one in the room

  • Chinese speaking (Cantonese/ Mandarin) will be handy from time to time for communication with Hong Kong office from time to time.
