Job summary

Light Up 7 in Kuala Lumpur is seeking a Senior Event Executive to collaborate with our Events team to deliver engaging events that drive client campaigns, brand identity and visibility. You will manage the full event lifecycle from planning to execution, ensuring objectives are met and client satisfaction.

The role requires hands-on coordination of logistics, permits, on-site management, and post-event reporting, with travel to events as needed.

Qualifications

  • Diploma/Advanced/Higher/Graduate Diploma or Bachelor's Degree in a related field.
  • At least 3-5 years of experience in handling virtual or physical events.
  • Experience in project management with a track record of successful events.
  • Problem-solving skills and an out-of-the-box mindset.
  • Meticulous attention to detail.
  • Excellent communication skills in English and Bahasa Malaysia (Chinese is an added advantage).
  • Able to multi-task, work independently, and perform under pressure with minimum supervision.
  • Must be able to drive a car as the main means of transport.

Responsibilities

  • Assist in end-to-end planning, coordination, production, execution, and management of events and event-related projects.
  • Support all aspects of event operations, including logistics, registration systems, exhibitor coordination, vendor liaison, floor management, manpower coordination, and on-ground execution.
  • Act as a key liaison between internal teams, clients, vendors, venues, suppliers, government bodies, non-government bodies, and other stakeholders involved in the event production process.
  • Coordinate and liaise with event vendors, including sourcing, negotiating quotations, confirming agreements, and ensuring timely delivery of required services.
  • Assist in obtaining relevant government and non-government event permits, approvals, and supporting documents when required.
  • Prepare event-related documents such as event proceedings, briefing notes, duty lists, production schedules, collaterals, reports, and other required materials.
  • Monitor and update event progress to ensure smooth project delivery and client satisfaction.
  • Report event status, updates, and key matters to the management team.
  • Assist with onsite event management during rehearsals, setup, event day, and teardown to ensure smooth event proceedings.
  • Proactively resolve and troubleshoot any issues that arise before, during, or after the event.
  • Prepare income and expenditure reports, post-event reports, survey forms, and other applicable reports relating to each event.
  • Propose, brainstorm, and implement ideas to improve event services, workflow, execution quality, and overall client experience.
  • Ensure each event is executed professionally, smoothly, and in line with the agreed requirements.
  • Support any ad-hoc event-related tasks assigned, including but not limited to event QR/registration platforms, booth or exhibitor arrangements, floor management, vendor coordination, and operational troubleshooting.
  • Work on other agency projects when required.

About the Role:
