Job summary

UL Solutions seeks a Sales Process Specialist based in Johor Bahru, Malaysia. You will handle inquiries, prepare quotations, convert quotes to orders in ERP, and support pre-/post-sales activities to meet certification timelines.

Ideal candidates have a Diploma in Business Administration, at least 1 year in sales support, strong English and Chinese communication skills, and experience with CRM/ERP systems, including Oracle.

Responsibilities

• Serve as the primary point of contact for customer inquiries and administrative support activities via phone and email.
• Prepare quotations using established pricing tools and convert approved quotes into orders within ERP systems.
• Support pre- and post-sales processes to ensure customers meet certification requirements and service adoption timelines.
• Follow up on quotations and collaborate with customers and sales teams to facilitate order conversion.
• Coordinate with Account Managers, Sales Engineers, technical teams, and other stakeholders to resolve customer inquiries and support business objectives.
• Maintain accurate customer records and provide account-related insights and reports to support sales activities.
• Build strong internal partnerships to proactively address customer needs and enhance the overall customer experience.
• Support continuous process improvement initiatives and share best practices with team members.
• Act as a resource for less experienced colleagues and support knowledge sharing within the team.
• Ensure timely completion of assigned activities while adhering to company policies and procedures.

Qualifications

• Diploma in Business Administration or a related discipline.
• Minimum 1 year of experience in sales support, customer service, order management, or administrative support.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and CRM/ERP systems.
• Strong business acumen and understanding of sales and customer support processes.
• Excellent communication, organizational, and stakeholder management skills.
• Ability to manage multiple priorities and work independently with minimal supervision.
• Experience working with internal systems, customer data, and reporting tools.
• Fluent in English and Chinese (written and spoken) to effectively collaborate with the China-based engineering team.
• Experience supporting technical, certification, testing, inspection, or professional services businesses.
• Familiarity with quotation management, order processing, and customer account administration.
• Knowledge of ERP platforms such as Oracle or similar enterprise systems.
