Job summary

BloomThis Flora is seeking a proactive Sales Coordinator to support our corporate and retail sales operations. You will manage inquiries, quotations, orders, and coordination with Production, Logistics and Finance to ensure smooth fulfilment.

Ideal candidates have 1–3 years in sales support, strong English communication, and good Bahasa Malaysia. You will thrive in a fast-paced environment, support on-site events, and help maintain accurate customer records in HubSpot.

Qualifications

• 1–3 years of experience in Sales Administration or similar customer-facing coordination roles.
• Excellent written and verbal communication in English.
• Working proficiency in Bahasa Malaysia.
• Strong organisational skills with attention to detail.
• Able to manage multiple tasks in a fast-paced environment.
• Proactive mindset with ownership and follow-through.
• Willingness to support on-site events and exhibitions when required.

Responsibilities

• Respond promptly to customer enquiries via WhatsApp Business and shared email inbox.
• Prepare quotations and Sales Orders in accordance with pricing and margin guidelines.
• Follow up on quotations and secure confirmed Sales Orders and Purchase Orders.
• Coordinate with Production and Logistics to ensure orders are processed and delivered on time.
• Update customers on delivery status and resolve order-related enquiries.
• Work with Finance to initiate invoicing and ensure payment documentation is complete.
• Maintain accurate customer records and sales pipeline in HubSpot CRM.
• Support retail operations, pop-up events, exhibitions and on-site sales activities when required.

What You'll Do

As a Sales Coordinator, you'll play a key role in ensuring a seamless customer journey.

Your responsibilities include:

• Responding promptly to customer enquiries via WhatsApp Business and shared email inbox.

• Preparing quotations and Sales Orders in accordance with pricing and margin guidelines.

• Following up on quotations and securing confirmed Sales Orders and Purchase Orders.

• Coordinating with Production and Logistics to ensure orders are processed and delivered on time.

• Updating customers on delivery status and resolving order-related enquiries.

What We're Looking For

• 1–3 years of experience in Sales Administration, Customer Service, Sales Support, Reservations, E-commerce or a similar customer-facing coordination role.

• Excellent written and verbal communication skills in English.

• Working proficiency in Bahasa Malaysia.

• Strong organisational skills with excellent attention to detail.

• Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.

• A proactive mindset with strong follow-through and ownership.

• Willingness to support on-site events, retail operations and exhibitions when required.

Bonus If You Have

• Experience handling corporate clients.

• Knowledge of Purchase Orders (PO), quotations and invoicing processes.

• Experience using HubSpot CRM or WhatsApp Business.

• Mandarin or additional language proficiency is an added advantage.

• Interest in flowers, gifting or lifestyle retail.
