The Sales Coordinator will support the sales team by managing customer orders, preparing quotations, verifying pricing, maintaining sales records, and coordinating order fulfilment activities. The role requires strong organizational skills, attention to detail, and the ability to work closely with customers and cross-functional teams to ensure smooth sales operations.
Key Responsibilities
- Provide administrative and operational support to the sales team.
- Process customer orders accurately and in a timely manner.
- Prepare and issue quotations to customers based on approved pricing.
- Verify pricing, discounts, and required approvals before order processing.
- Convert approved quotations into sales orders within the ERP system.
- Coordinate with internal departments to ensure timely order fulfilment and delivery.
- Monitor customer payment status, including Letter of Credit (LC) and other payment arrangements, prior to order release.
- Maintain and update sales records, reports, and customer documentation.
- Manage sales-related documentation, contracts, and filing systems.
- Respond to customer enquiries and provide after-sales support when required.
- Track sales activities and generate periodic operational reports.
- Identify process improvement opportunities to enhance sales support efficiency.
- Perform other duties as assigned by management.
To be successful in this role, you should possess:
- Diploma or Bachelor's Degree in Business Administration, Sales, Marketing, Supply Chain, or a related discipline.
- Minimum 2 years of experience in sales coordination, sales administration, customer service, or a related role.
- Experience handling sales orders and customer documentation in an ERP system (SAP experience is an advantage).
- Familiarity with Letters of Credit (LC), export documentation, and order fulfilment processes is an added advantage.
- Strong organizational and administrative skills with excellent attention to detail.
- Good analytical and problem-solving abilities.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
- Excellent communication and interpersonal skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
