Job summary

Fujita Automotive is seeking a capable Logistics and Sales Administration professional to handle orders, invoices and delivery documentation in Malaysia. You will coordinate with Sales, Warehouse and Accounts to ensure timely deliveries and accurate records.

The role requires strong Excel skills and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate has a diploma/degree in business, logistics, or supply chain and prior experience in sales administration or

Qualifications

  • Diploma or degree in business, logistics, supply chain or related field.
  • Experience in sales administration, order processing, logistics or customer service preferred.
  • Proficient with invoices, DOs, packing lists, stock, and delivery processes.
  • Excellent MS Office skills, especially Excel.
  • Detail-oriented, organized, responsible, and able to manage multiple tasks.
  • Strong communication and interpersonal skills.
  • Ability to liaise with Sales, Accounts, Warehouse, Logistics and customers.
  • Independent and deadline-driven.

Responsibilities

  • Handle and resolve issues related to sales orders, invoices, DOs and customer requirements.
  • Check customer payment status and coordinate with Accounts before releasing orders or deliveries.
  • Coordinate delivery schedules with Sales, Warehouse, and Logistics teams.
  • Prepare and verify DOs, packing lists, invoices and other delivery documents.
  • Check stock availability and coordinate with Warehouse to ensure product availability for delivery.
  • Monitor order and delivery status and provide timely updates to Sales.
  • Follow up on pending orders, deliveries, stock, and customer requirements.
  • Liaise with Sales to coordinate order arrangements and resolve operational issues.
  • Coordinate with Warehouse and Logistics to ensure goods are properly prepared, packed and dispatched.
  • Monitor and update delivery status until order is completed.
  • Handle customer inquiries related to orders, deliveries, invoices and product availability.
  • Ensure all sales and delivery documentation is accurate and maintained.
  • Prepare regular updates and reports on order, stock and delivery status.
  • Perform other duties and administrative tasks as assigned.

Handle and resolve issues related to sales orders, invoices, Delivery Orders (DO), and customer requirements.

Requirements

  • Good coordination and problem-solving skills.

  • Proficient in Microsoft Office, especially Excel.

  • Detail-oriented, organised, responsible, and able to manage multiple tasks.

  • Good communication and interpersonal skills.

  • Able to liaise effectively with Sales, Accounts, Warehouse, Logistics, and customers.

  • Able to work independently and meet deadlines.
