The Sales Admin & Billing Executive is responsible for supporting the hardware sales and business development teams in all sales administration and billing matters. This role ensures accurate documentation, timely billing processes, effective communication with clients and suppliers, and smooth coordination between internal and external stakeholders to support overall business operations.
Job Descriptions:
Sales & Billing Administration
- Handling administrative work assigned by Management in a timely and efficient manner.
- Supporting both hardware sales and business development teams in all sales administration matters.
- Managing and preparing invoices, delivery orders, and purchase orders for suppliers and customers with high accuracy.
- Ensuring the integrity of billing data by maintaining accurate, complete, and up-to-date records at all times.
- Monitoring outstanding invoices and ensuring all clients remain informed their outstanding debts and payment deadlines.
- Maintaining smooth workflow between sales, finance, information technology, suppliers, and logistics partners to support business operations.
Client & Communication Support
- Managing and responding to clients' inquiries via phone calls, emails, and other communication platforms in a professional and timely manner.
- Liaise with internal teams, suppliers, and customers to resolve billing, delivery, or administrative matters efficiently.
- Build and maintain good working relationships with clients and vendors to support long‑term business collaboration.
- Attend meeting with suppliers, vendors, or clients, when necessary, based on business requirements, to facilitate coordination, clarify documentation, or resolve operational matters.
- Understand the company's products and services offerings thoroughly in order to explain, recommend, and share suitable solutions with clients based on their requirements.
- Respond to client inquiries regarding purchased products (e.g., specifications, documentation, delivery status, based usage clarification) within the scope of knowledge, and escalated technical or complex matters to the relevant team when necessary.
General & Ad-Hoc Duties
- Maintaining the smooth flow of daily business operations.
- Assist in preparing reports related to sales administration, billing status, and outstanding payments when required.
- Perform any other ad-ho duties as assigned from time-to-time.
Job Requirements:
- Minimum two (2) years of working experience in sales administration, sales coordinator, billing, or related role (experience in IT hardware or reseller environment is an added advantage).
- Minimum SPM qualification or above,
- Good working attitude, responsible, proactive, and willing to learn.
- Strong attention to details with a high level of accuracy in documentation and data handling.
- Proficient in Microsoft Office applications, and Google application such as Google Sheet.
- Good communication skills in written and spoken English and Mandarin to effectively communicate with Mandarin‑speaking clients, additional languages such as Malay is an advantage.
- Able to work independently under a fast‑paced environment.
- Willing to travel when required for meeting with clients, suppliers, or vendor based on business needs.
- Ability to stand‑by or attend to emergency tasks after working hours if required.
