Job summary

QL Poultry Farms Sdn Bhd (QLPF) seeks a Sales Administration Assistant to manage invoicing, receipts and delivery orders for eggs, layers and fertilizer. You will monitor cash sales to farm employees, file invoices with receipts and GRNs, and coordinate goods returns with the egg house team.

Responsibilities

• Issue sales invoices, cash receipts and delivery orders for egg, layer and fertilizer sales after Navision posting.
• Monitor and control cash sales of chicken eggs to farm employees, ensuring compliance with approved product types and quantity limits.
• Ensure all cash sales invoices are properly categorized and filed (e.g., chicken eggs, fertilizer/chicken dung, layers).
• Collect and review receiving/delivery notes from drivers, transporters and customers; ensure invoices are filed with corresponding receiving notes and GRNs.
• Inspect returned goods and verify quantities match the customer Goods Return Note (GRN).
• Coordinate goods return handling with the egg house supervisor and report any excesses to Farm Management.
• Prepare daily cash sales summaries for verification by the Account Executive.
• Maintain a daily goods return summary and email consolidated report to Farm Management monthly.
• Conduct physical stock takes for layers and inventory according to management schedules.
• Perform special loading bay duties to ensure proper goods movement, dispatch and tracking.

Job description

Issue sales invoices, cash receipts, and delivery orders (DO) for egg, layer, and fertilizer sales following Navision posting by the Accounting team.

Monitor and control cash sales of chicken eggs to farm employees, ensuring strictly compliance with management-approved product types and quantity limits.

Ensure all cash sales invoices are properly categorized and filed (e.g., chicken eggs, fertilizer/chicken dung, and layers).

Collect and review receiving/delivery notes from drivers, transporters, and customers. Ensure all sales invoices are properly filed with their corresponding receiving notes and customer Goods Return Notes (GRNs).

Inspect returned goods and verify that actual quantities match the customer's Goods Return Note (GRN).

Coordinate goods return handling with the egg house supervisor, and report any returned quantities that exceed set standards to Farm Management.

Prepare daily cash sales summaries and hand them over to the Account Executive for verification.

Maintain a daily goods return summary and email the consolidated report to Farm Management monthly.

Conduct physical stock takes for layers and inventory according to schedules arranged by management.

Perform special loading bay duties based on management shift schedules to ensure proper goods movement, dispatch, and physical tracking.
