Job summary

Astute MFM is seeking a Quotation and Estimating Executive in Malaysia to price repair and maintenance works raised by engineering teams on facilities management contracts. You will bridge between engineering and client, convert site findings into costed quotations, and chase approvals.

The role requires handling rate cards, vendor quotes, and clear English documentation to clients. Build accurate trackers and visit sites as needed to validate complexity.

Qualifications

• Written English suitable for client communications.
• Strong numerical skills with high accuracy under high volume.
• Proactive chasing of approvals with vendors and clients.
• Minimum two years in quotations, estimating or contracts administration.
• Knowledge of building trades including lighting, electrical, fire protection, air conditioning, plumbing.
• Fluent in Bahasa Malaysia and English.

Responsibilities

• Read site notes and determine the true job scope.
• Price work using rate card: labour hours, parts, markup and margin.
• Obtain vendor or subcontractor quotations and mark up those quotes.
• Write the client quotation and description in clear English.
• Issue the quotation and chase the client for approval or purchase order.
• Keep job trackers accurate daily.
• Visit site with an engineer for complex jobs to assess scope.
• Flag under-scoped or overpriced items.

Job description

Astute MFM is part of the KJTS Group and the business is expanding quickly. We are looking for a Quotation and Estimating Executive to price the repair and maintenance work our engineering teams raise on our facilities management contracts, and to get those quotations approved by the client. You sit between the engineering team and the customer. The technician tells you what he found on site. You work out what it costs, what we charge, and you write the quotation. Then you chase it until it is approved. What you price is what we get paid.

Key responsibilities

• Read the job notes our technicians send in from site, often written quickly and in rough English, and work out what the job really involves
• Price the work using our rate card: labour hours, parts, markup and margin
• Obtain quotations from vendors and subcontractors where outside trades are needed, then check them and mark them up
• Write the quotation and the description that goes to the client, in clear English, ready to send with no rewriting needed
• Issue the quotation, then chase the client until you have an approval or a purchase order
• Keep our job trackers accurate and up to date, every job, every day
• Visit site with an engineer when a job is complex enough that you need to see it yourself
• Flag it when a technician has under-scoped a job or a vendor has overpriced one

About you

• Written English you can put in front of a client. Every quotation carries our name.
• Good with numbers and do not make mistakes under volume. Solid Excel.
• Chase things. Vendors go quiet, clients sit on approvals, technicians do not answer.
• At least two years in quotations, estimating, service coordination or contracts administration. Facilities management, mechanical and electrical, building services, construction or property all count.
• Knowledge of building trades: lighting, electrical, fire protection, air conditioning, plumbing, doors and shutters, or commercial kitchen equipment
• Experience pricing from a rate card, schedule of rates or bill of quantities
• Bahasa Malaysia and English, both used daily
