About the role

Pikzern Group is seeking a detail‑oriented and organised Purchasing Officer/Assistant to join our team on a full-time basis in Elmina, Selangor. This role is fundamental to our operations, as you will be responsible for managing procurement activities, maintaining inventory records, and ensuring cost‑effective purchasing decisions. You will work closely with suppliers & internal departments to support the smooth flow of materials and services throughout our organisation. This position offers an excellent opportunity to develop your expertise in procurement and logistics within a growing food manufacturing and distribution company.

Key Responsibilities

1. Procurement Operations & Order Management

PO Issuance: Generate and issue Purchase Orders (PO) based on the quantities and pricing confirmed by the Purchasing Manager.

Specification Verification: Ensure all technical specifications are documented and agreed upon before the PO is finalized.

Order Tracking: Act as the main point of contact regarding order status, document readiness and ETAs.

Database Maintenance: Keep an updated Master SKU List including suppliers/products/ordering details.

Documentation: Maintain the database of all relevant documents during the importation/purchasing process.

2. Compliance Support

Ingredient Safety: Checking against the Malaysian Food Regulations 1985 for prohibited substances.

Label Requirements: Ensuring draft labels include mandatory information.

Halal Guardian: Verify foreign Halal certs and manage our MyeHALAL applications with JAKIM.

System Filing: Upload and manage product registrations in the FoSIM (MOH) or ePermit (MAQIS) portals as required.

3. Credit Term Management

Payment Cycle Monitoring: Maintain a tracker of all suppliers’ credit terms, coordinate with the Finance Department to ensure payments are made on time.

4. Logistics Readiness & Handover

Document Compilation: Collate the full "Shipping Set" (Invoice, Packing List, Health Cert, COA, Halal Cert, and Import Permits).

Handover: Once the cargo is ready and documents are verified, formally hand over the file to the Logistics Team for customs clearance.

What we're looking for

Academic Qualification

A Diploma or Degree in a relevant field (Food Science, Supply Chain Management, Business Administration, or equivalent).

Knowledge

Fluent in Bahasa Malaysia and English. Familiarity with Malaysian food regulations/importation and Halal compliance is a major plus.

Experience

Relevant experience in Purchasing or similar role in manufacturing/logistics/importation/distribution environments.

Character

Meticulous, good communication skill, problem-solving ability and willingness to take initiative.
