Responsibilities

• Sourcing & procurement management: end-to-end activities including sourcing, supplier evaluation, negotiation, and PO processing.
• Coordinate shipment and logistics, ensuring timely delivery to warehouses or destinations.
• Arrange inspections and compliance documentation, such as product certifications or CB reports as required.
• Coordinate equipment bookings/installation support for projects as needed.
• Prepare and maintain procurement reports, cost analyses, and supplier performance summaries.

Gard Inc Sdn Bhd. is seeking a highly motivated Procurement Executive to join our team in Sungai Long, Selangor. As a Procurement Executive, you will play a crucial role in supporting our business operations by managing the procurement of essential materials, supplies, and services. This full-time position presents an opportunity to contribute directly to the success and growth of our organization.

What you'll be doing

• 1. Sourcing & Procurement Management Execute end-to-end procurement activities, including sourcing, supplier evaluation, negotiation, and purchase order processing. Continuously identify and evaluate new suppliers to ensure cost efficiency and supply chain reliability. Coordinate and monitor the quotation process from suppliers to ensure timely submission and competitive pricing. Build and maintain strong working relationships with local and overseas suppliers, vendors, freight forwarders, and internal support teams.
• 3. Shipment & Logistics Coordination Liaise with freight forwarders and courier companies to ensure timely delivery of shipments to warehouses or direct destinations. Track order status regularly and follow up with suppliers to ensure on-time delivery.
• 4. Inspection & Compliance Management Arrange and coordinate SIRIM inspections (or relevant compliance certifications) as required for regulated products. Manage pre-shipment inspections to ensure quality and compliance with company standards and specifications. Coordinate with suppliers for the preparation and submission of required CB reports (or other product compliance documentation).
• 5. Project & Operations Support Coordinate boomlift or skylift bookings and arrangements when required for installation or project activities.
• 6. Reporting & Documentation Prepare and maintain accurate purchase reports, including procurement status, cost analysis, and supplier performance summaries. Ensure proper documentation of purchase orders, invoices, shipping records, and compliance documents.

What we're looking for

• Minimum 2-3 years of experience in a procurement or purchasing role
• Proficient in using procurement software and tools to manage supplier relationships, orders, and inventory
• Excellent negotiation and communication skills, with the ability to interact effectively with suppliers and internal stakeholders
• Strong analytical and problem-solving skills, with a keen eye for detail and a focus on cost optimization
• Familiarity with procurement best practices, supply chain management, and relevant industry regulations
• Proactive, adaptable, and able to work independently as well as part of a team
