Job summary

Pullman Kuala Lumpur City Centre Hotel & Residences is seeking a Purchasing Executive to manage daily purchasing for food, beverage, operating supplies, and engineering items, ensuring quality products and on-time delivery. You will work with hotel departments and suppliers, monitor stock levels, conduct market surveys, and negotiate prices to meet budget and standards.

A Diploma/Degree in Purchasing or related field with 2–3 years’ experience in a five-star hotel is required, with strong

  • Diploma/Degree in Purchasing, Supply Chain Management, Business Administration, Hospitality Management or a related field.
  • 2–3 years of purchasing/procurement experience, preferably in a five-star hotel or upscale environment.
  • Strong knowledge of the local supplier market and hotel market lists, market surveys and product specifications.
  • Good understanding of purchasing procedures, quotation comparison, supplier negotiation and cost control.
  • Strong communication, negotiation, analytical and organizational skills with attention to detail.
  • Proficient in Microsoft Office; experience with hotel purchasing or procurement systems is an advantage.
  • Proactive, responsible, commercially aware, and able to work in a fast-paced environment.
  • Good command of English and willingness to work flexible hours.

Responsibilities

  • Manage daily purchasing of food, beverage, operating supplies, engineering items and other hotel requirements.
  • Source and purchase from approved suppliers, ensuring competitive pricing, quality and timely delivery.
  • Maintain up-to-date knowledge of local market prices, product availability, seasonal items and supplier trends.
  • Conduct regular market surveys and maintain/update the hotel market list to ensure competitive pricing.
  • Obtain and compare quotations and negotiate pricing, payment terms and delivery conditions where applicable.
  • Liaise with suppliers to follow up on purchase orders, deliveries, product quality and discrepancies.
  • Work closely with Receiving, Stores, Finance, Culinary, F&B, Engineering and other departments to fulfil purchasing requirements.
  • Monitor stock levels and coordinate replenishment to prevent shortages and overstocking.
  • Evaluate supplier performance based on price, quality, reliability and service.
  • Maintain accurate purchase orders, quotations, market surveys and supplier records.
  • Ensure purchasing activities comply with hotel policies, approved specifications, quality standards and budget requirements.
  • Identify cost-saving opportunities without compromising quality and service standards.
  • Assist the Purchasing Manager with audits, stock counts, supplier reviews and other purchasing-related activities.
  • Perform other duties as assigned by the Purchasing Manager.

As a Purchasing Executive, you will manage the hotel’s daily purchasing activities, ensuring quality products and services are sourced at competitive prices and delivered on time. You will work closely with hotel departments and suppliers to support smooth operations, cost control, and compliance with hotel standards. The ideal candidate must have good knowledge of the local market and be familiar with the hotel’smarket list.

Key Responsibilities
