To manage and coordinate the Company’s purchasing activities, ensuring materials, products and services are sourced at the right quality, quantity, cost and time. The Purchasing Executive will work closely with local and overseas suppliers, including suppliers and export parties in China, to ensure smooth procurement, shipping and delivery to the Company.
Key responsibilities
- Prepare, issue and maintain Purchase Orders (PO), Sales Orders and other purchasing documents accurately and in a timely manner
- Source and evaluate suppliers, products and materials based on quality, price, availability, lead time and reliability
- Liaise and maintain good working relationships with suppliers, vendors, logistics providers and other relevant parties
- Liaise directly with China-based suppliers and export parties to coordinate orders, production status, export arrangements, shipping schedules and delivery requirements
- Coordinate with China suppliers and relevant freight forwarders/shipping agents on shipment arrangements, including collection, loading, vessel/transport schedules and estimated arrival dates
- Follow up closely on order and delivery status and ensure purchased items arrive according to the required schedule
- Coordinate with internal departments, including Warehouse, Operations, Finance and other relevant teams, on purchasing requirements, stock availability and delivery arrangements
- Monitor supplier performance and follow up on delays, shortages, damages, quality issues or discrepancies in delivered goods
- Resolve purchasing, logistics and quality issues promptly with suppliers and relevant internal departments
- Ensure purchasing records, quotations, Purchase Orders, delivery documents and other procurement documentation are properly maintained and updated
About you
- Possess at least SPM, Professional Certificate, Diploma in Business Studies, Administration, Management, Logistics, Transportation or equivalent
- Minimum 3 years of working experience in Purchasing, Procurement, Inventory, Materials, Warehouse Management or a related field
- Proficient in both Chinese and English, with the ability to communicate effectively with China-based suppliers. (Chinese is a must)
- Strong knowledge of products, suppliers, sourcing channels and supplier networks
- Experience dealing with China suppliers and coordinating overseas purchases/export shipments is highly preferred
- Good understanding of purchasing, delivery coordination, logistics and basic import/export processes
- Strong follow-up skills with the ability to monitor multiple orders, suppliers and delivery schedules simultaneously
- Good negotiation, communication, coordination and problem-solving skills
- Computer literate; experience using SQL or other purchasing/inventory systems is an advantage
- Able to work independently, meet deadlines and handle urgent purchasing and delivery matters
