Job summary

We seek a Purchasing Assistant to support sourcing, quotations, POs, and supplier management. The role emphasizes coordination with site teams, accurate record-keeping, and finance support, with opportunities to grow in procurement and procurement systems. Candidates should have a Diploma or Bachelor’s in procurement or related fields, 1–2 years in procurement, and proficiency in Autocount

Qualifications

• Bachelor’s Degree or Diploma in Procurement, Supply Chain Management, Business Administration, Construction Management, or related discipline.
• Experience in purchasing construction materials is an advantage.
• Preferably 1–2 years in procurement or purchasing functions.
• Proficient in Autocount software and Microsoft Office.

Responsibilities

• Sourcing & quotations: assist in sourcing construction materials, gather quotations, and compare prices from vendors.
• Purchase orders: prepare, issue, and track POs based on project needs.
• Delivery & site coordination: follow up on delivery schedules and coordinate with site/warehouse teams.
• Vendor management: liaise with suppliers to resolve issues and maintain good relationships.
• Record keeping & administration: maintain procurement records, invoices, and inventory data.
• Finance support: assist finance with invoice verification and payment matching.

Job description

Sourcing & Quotations: Assist in sourcing construction materials, gathering quotations, and doing price comparisons from various vendors.

Purchase Orders (POs): Prepare, issue, and track purchase orders based on project requirements.

Delivery & Site Coordination: Follow up with suppliers on delivery schedules, coordinate with site/warehouse teams for goods receiving, and track material arrivals to avoid project delays.

Vendor Management: Liaise with suppliers to resolve issues regarding damaged goods, delayed deliveries, or pricing discrepancies, and maintain good vendor relationships.

Record Keeping & Administration: Maintain organized digital and physical procurement records, invoices, delivery orders, and inventory data.

Finance Support: Assist the finance or accounts department with invoice verification and payment process matching.

Job Requirement:

Bachelor’s Degree or Diploma in Procurement, Supply Chain Management, Business Administration, Construction Management, or any related discipline.

Experience in purchasing construction materials will be an added advantage.

Preferably 1–2 years of relevant working experience in procurement or purchasing functions.

Proficient in Autocount software, Microsoft Office etc.

Good command of local dialects, Bahasa Malaysia and English.

Strong negotiation, coordination, communication, and interpersonal skills.

Good knowledge of procurement processes, supplier management, pricing comparison, and material sourcing.

Able to work independently, manage multiple tasks, and perform under tight timelines.

Self-motivated, proactive, and willing to take on new challenges and continuous learning.
