Job summary

Ray Tech (Malaysia) Sdn Bhd is seeking a proactive Purchase Executive to join our Johor Bahru-based team. You will source, negotiate, and procure materials and services to support manufacturing and logistics operations, ensuring optimal stock levels and supplier performance.

The role requires 2–3 years in purchasing, strong negotiation, and proficiency in MS Office and procurement tools. Mandarin-speaking abilities are preferred to liaise with suppliers and stakeholders effectively.

Qualifications

• Diploma or Bachelor's in Business Administration, Supply Chain Management, Logistics, or related field.
• 2–3 years of experience in purchasing or procurement in manufacturing/logistics.
• Strong negotiation skills to secure favourable supplier terms.
• Proficiency in Microsoft Office applications, especially Excel and Word.
• Knowledge of inventory management systems and procurement software.
• Excellent organisational skills to manage multiple POs.
• Strong communication and interpersonal skills for stakeholder engagement.
• Attention to detail and accuracy in documentation and records.
• Ability to work independently and in a team.
• Mandarin speaking preferred due to suppliers/shareholders.

Responsibilities

• Identify and evaluate potential suppliers for quality, cost-effectiveness, and reliability.
• Prepare and issue purchase orders with accurate specs, quantities and delivery timelines.
• Negotiate contract terms, pricing, and payment conditions with suppliers.
• Monitor supplier performance and maintain delivery, quality, and service records.
• Coordinate with internal departments to understand procurement requirements.
• Manage inventory levels and coordinate with warehouse on stock rotation.
• Process invoices and resolve discrepancies between POs and received goods.
• Maintain procurement documentation and audit/compliance reports.
• Communicate with suppliers to expedite orders and resolve issues.
• Contribute to cost reduction and process improvement in procurement.

We are seeking a Purchase Executive to join Ray Tech (Malaysia) Sdn Bhd in a full-time capacity. This role is based in Johor Bahru District, Johor, and is integral to our supply chain operations. As a Purchase Executive, you will be responsible for sourcing, negotiating, and procuring materials and services that support our manufacturing and logistics operations. This position plays a crucial role in ensuring that we maintain efficient inventory levels, secure competitive pricing, and build strong supplier relationships that contribute directly to our operational success and profitability.

What you'll be doing

• Identifying and evaluating potential suppliers and vendors to ensure quality, cost-effectiveness, and reliability
• Preparing and issuing purchase orders, ensuring accuracy of specifications, quantities, and delivery timelines
• Negotiating contract terms, pricing, and payment conditions with suppliers to secure the best value for the company
• Monitoring supplier performance and maintaining records of deliveries, quality, and service levels
• Coordinating with internal departments to understand procurement requirements and specifications
• Managing inventory levels and working with warehouse teams to optimise stock rotation and storage
• Processing invoices and resolving discrepancies between purchase orders and received goods
• Maintaining detailed procurement documentation and reports for audit and compliance purposes
• Communicating with suppliers to expedite orders, resolve delivery issues, and address quality concerns
• Contributing to cost reduction initiatives and process improvements within the procurement department

What we're looking for

• Diploma or Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or related field
• Minimum 2-3 years of experience in a purchasing or procurement role within manufacturing, logistics, or related industries
• Strong negotiation skills with the ability to secure favourable terms with suppliers
• Proficiency in Microsoft Office applications, particularly Excel and Word
• Knowledge of inventory management systems and procurement software
• Excellent organisational skills with the ability to manage multiple purchase orders simultaneously
• Strong communication and interpersonal skills for effective stakeholder engagement
• Attention to detail and accuracy in documentation and record-keeping
• Ability to work independently and as part of a collaborative team
• Familiarity with supply chain processes and logistics operations is preferred
• Experience with vendor management and supplier relationship development is advantageous
• Prefer Mandarin speaking to directly due to suppliers, shareholders etc.
