Job summary

Toshiba Sales & Services Sdn Bhd in Shah Alam invites a motivated student to join our team for a hands-on internship, supporting proposals, documentation, and payment follow-up.

You will assist in opening accounts, coordinating orders, tracking deliveries and invoices, and collaborating with supply chain and after-sales teams.

This role emphasizes learning in business, marketing, and sales, with exposure to admin processes and project coordination in a fast-paced environment.

Qualifications

• Currently pursuing Diploma/Degree in Business, Marketing, Sales, or related field.
• Good communication and coordination skills.
• Proficient in Microsoft Office (Excel, Word, PowerPoint).
• Organized, detail-oriented, and willing to learn in a fast-paced project environment.

Responsibilities

• Assist in transferring dealers' accounts to Toshiba and opening new accounts under Toshiba.
• Assist in accessing BCI portal to generate potential projects and customers, and perform cold calling.
• Assist in preparing delivery instructions and submitting the documents and PO to admin department.
• Follow up on delivery order tracking and invoices; assist in preparing PRF to supply chain.
• Support and coordinate with supply chain to monitor stock availability and incoming shipments.
• Assist with customer account opening applications and documentation; monitor payment status and documentation.

Job description

This role provides exposure to the full project cycle from proposal stage to delivery, documentation, and payment follow-up.

Key Responsibilities:

1. Account Opening

• Transfer dealers' accounts to Toshiba
• Opening new account under Toshiba with all the existing clients
• Vendors registration under Toshiba

2. Account Opening

• Assist in accessing BCI portal to generate potential projects and customers, and cold calling.

3. Operations & Project Coordination

• Assist in preparing delivery instruction and submit the document and PO to admin department.
• Follow up on the delivery order tracking and invoices.
• Assist in preparing Project Request Forms (PRF) to supply chain.
• Support & Coordinate with supply chain to monitor stock availability and incoming shipments.

3. Finance & Credit Administration

• Assist with customer account opening applications and documentation.
• Assist the team in monitoring payment status and documentation.
• Assist in updating the project warranty list.
• Support coordination with after-sales and technical teams for product defects, spare parts, and service requests.
• Maintain proper filing of project documents, contracts, invoices, and inspection reports for audit purposes.
