Production Planning & Purchasing Manager
We are looking for an experienced and decisive Assistant Manager to lead our Production Planning and Purchasing function. This is a hands‑on leadership role with full accountability for a team of five, covering production scheduling, materials procurement, store receiving, customer communication, and delivery fulfilment.
Beyond managing internal operations, this role is the primary bridge between our production floor and our customers. The right person is commercially sharp, highly responsive, and able to handle production challenges, supplier negotiations, and customer relationships with equal confidence.
Team Leadership & Daily Operations
- Lead, supervise, and develop a team of 5: 3 Production Planners, 1 Store Receiver, and 1 Purchaser
- Set daily priorities and workload allocation; ensure tasks are completed accurately and on time
- Establish and enforce SOPs for planning, purchasing, and receiving workflows
- Hold the team accountable for output quality, responsiveness, and professional conduct
Production Planning & Control
- Develop and manage production schedules aligned with customer orders, capacity, and material availability
- Monitor WIP, flag bottlenecks, and take immediate corrective action to protect delivery commitments
- React promptly to production disruptions (machine downtime, material shortages, manpower gaps) and implement recovery plans without delay
- Track output and delivery status daily; proactively update customers on any deviations before they need to ask
Purchasing, Procurement & Store Management
- Oversee all purchasing activities; ensure POs are raised accurately, approved, and tracked to delivery
- Negotiate with suppliers on pricing, lead times, delivery terms, and resolution of supply issues
- Process and manage purchase returns — coordinate with suppliers on replacement, credit, or refund with proper documentation
- Supervise the Store Receiver to ensure goods received are verified against POs, properly recorded, and discrepancies are escalated promptly
- Maintain optimal stock levels to support production without excess inventory holding
Compliance & Documentation
- Ensure all planning, purchasing, and receiving documents are completed accurately, filed correctly, and audit‑ready at all times
- Manage compliance of all forms and records in accordance with company SOPs, customer requirements, and quality standards
- Oversee documentation for POs, delivery orders, GRNs, purchase returns, and related correspondence
- Support internal and external audits with organised and traceable records
Customer Relationship Management
- Act as the primary operations contact for customers on order status, delivery updates, and production matters
- Respond to customer enquiries and escalations promptly and professionally — no query left unanswered
- Represent the company confidently in customer meetings; present clear delivery and output status updates
- Build and maintain professional, trust‑based relationships with key customer accounts
- Negotiate with customers on delivery rescheduling, partial shipments, or production constraints — presenting options professionally while protecting commitments
- Identify and react to production or delivery issues in real time — not after they escape
- Negotiate with customers, suppliers, and internal teams to find workable solutions under pressure
- Escalate to senior management with a clear summary and proposed options, not just the problem
- Track recurring issues and drive root‑cause corrective actions
What We’re Looking For
Education & Experience
- Diploma or Degree in Industrial Engineering, Supply Chain Management, Business Administration, or related field
- Minimum 4–6 years of hands‑on experience in production planning and/or purchasing within a manufacturing environment
- At least 1–2 years in a supervisory or team lead role
- Direct experience handling customer communication on production or delivery matters is essential
Technical Skills
- Strong working knowledge of production scheduling, MRP/ERP systems, and procurement workflows
- Experienced in purchase return processes, supplier negotiation, and GRN/stock reconciliation
- Proficient in Microsoft Excel and reporting/planning tools
- Familiar with document control and SOP compliance; ISO experience is an advantage
Character & Work Style
- Highly responsive — replies promptly, attends meetings prepared, and follows up without being chased
- Able to negotiate professionally with customers and suppliers under pressure
- Calm, decisive, and solution‑focused when production issues arise
- Strong communicator in English and Bahasa Malaysia
- Leads by example and holds the team to a high standard
- Organised, detail‑oriented, and takes full ownership of the role
