Job summary

DFI Retail Group is seeking a Procurement Specialist in Malaysia to support end-to-end procurement activities and collaborate with internal stakeholders to achieve cost-effective outcomes. You will engage suppliers, manage RFQs/RFPs/eAuctions, and monitor performance metrics within a governance framework.

The role emphasizes data-driven decision making, strong communication, and hands-on experience with SAP FICO, GEP e-sourcing, and RTA systems.

Responsibilities

• Develops and implements procurement strategies aligned with organizational goals, focusing on cost optimization, risk mitigation, and value maximization.
• Conduct market research and analysis to identify potential suppliers, assess market conditions, review spend patterns, and forecast price trends.
• Ensure adherence to procurement policies and procedures in line with company standards and regulatory requirements.
• Set up and manage RFQs, RFPs, and eAuctions using GEP e-sourcing tools, supporting evaluation and negotiation processes.
• Monitor KPIs to track procurement efficiency, supplier performance, and deliverables.
• Build and maintain strong, collaborative relationships with suppliers and business stakeholders to foster long-term partnerships.
• Manage supplier performance, resolve issues promptly, and conduct regular reviews to drive continuous improvement.
• Deliver against procurement targets and track performance in line with team objectives.
• Support Purchase Orders (POs), payment processes, and vendor data using SAP (FICO) to ensure P2P alignment with contracts.
• Ensure accurate data entry and reporting across procurement systems.
• Collaborates effectively with internal stakeholders across departments to understand procurement needs.
• Drive efficiency and continuous improvement by staying updated on industry best practices and procurement technologies.
• Embed the DFI Leadership Framework into daily work, demonstrating accountability, collaboration, and results-driven behaviors.

About the role

As a Procurement Specialist, you are an integral part of our team, supporting Procurement Managers in acquiring goods and services efficiently and cost-effectively.

You will support end-to-end procurement activities, coordinate with internal stakeholders, engage suppliers, and help maintain compliance with procurement policies and governance standards. Your contribution supports operational efficiency, value creation, and continuous improvement

Key Responsibilities

Strategic Procurement

Develops and implements procurement strategies aligned with organizational goals, focusing on cost optimization, risk mitigation, and value maximization

Conduct market research and analysis to identify potential suppliers, assess market conditions, review spend patterns, and forecast price trends

Ensure adherence to procurement policies and procedures in line with company standards and regulatory requirements

Set up and manage RFQs, RFPs, and eAuctions using GEP e-sourcing tools, supporting evaluation and negotiation processes

Monitor key performance indicators (KPIs) to track procurement efficiency, supplier performance, and deliverables

Operational Excellence Procurement

Deliver against procurement targets and track performance in line with team objectives

Support Purchase Orders (POs), payment processes, and vendor data using SAP (FICO module) to ensure that the P2P is aligned with category strategy and contracts.

Ensure accurate and timely data entry and reporting across procurement systems

Collaborates effectively with internal stakeholdersacross difference departments to understand their procurement needs

Drive efficiency and continuous improvement by staying updated on industry best practices and procurement technologies

Embed the DFI Leadership Framework into daily work, demonstrating accountability, collaboration, and results-driven behaviors

About you

2-3 years of experience in business administration, procurement, or a related field

Strong interest in developing a career in procurement

Experience working in a small team environment with the ability to follow end-to-end procurement processes and work independently

Good communication and a desire to develop your influencing, and negotiation skills

Strong attention to detail with a data-driven mindset

Proactive, self-motivated, well-organized, and able to work under pressure

Goal-oriented with good organizational skills and ability to manage multiple tasks simultaneously

Strong computer literacy, particularly in Microsoft Office (Excel, Word, Outlook)

Good command of English (written and spoken)

Hands-on experience with SAP (FICO), RTA systems, and/or GEP e-sourcing tools

Basic knowledge of sourcing events (RFQ/RFP/eAuction) and supplier negotiations
