Qualifications

• Diploma or Bachelor’s degree in Business Administration, Supply Chain Management, Procurement or related field.
• 1-3 years of experience in purchasing, procurement or related administrative role.
• Strong organizational and time management skills to prioritize multiple tasks.
• Proficiency in MS Office, especially Excel and Word.
• Excellent communication and interpersonal skills for collaboration with suppliers and internal stakeholders.
• Attention to detail and accuracy in data entry and record keeping.
• Knowledge of procurement processes and best practices.
• Ability to work independently and as part of a team in a fast-paced environment.
• Familiarity with ERP systems is an advantage.
• Basic understanding of inventory management and supply chain concepts.

Responsibilities

• Handle and ensure all required import shipment documents from suppliers and freight forwarders are properly prepared and completed.
• Arrange and coordinate transportation for import shipments.
• Place orders and follow up on the delivery of indirect materials.
• Check and monitor the Estimated Time of Arrival (ETA) for orders and update the master list accordingly.
• Collect, verify and organize Delivery Orders (DOs) and invoices for each order.
• Key in and maintain purchase invoices accurately in the system on a monthly basis.
• Perform proper filing and documentation of purchasing and import-related records.
• Perform other ad-hoc duties and tasks as assigned by the management.
