We are seeking a highly organized, detail-oriented Procurement Executive to manage day-to-day purchasing, supplier coordination, and administrative workflows. This role supports the end-to-end paperwork trail, ensures ordering schedules run strictly on time to facilitate smooth stock transitions, and provides critical data support for inventory tracking and forecasting models.
About the role
We are seeking a highly organized, detail-oriented Procurement Executive to manage day-to-day purchasing, supplier coordination, and administrative workflows. This role supports the end-to-end paperwork trail, ensures ordering schedules run strictly on time to facilitate smooth stock transitions, and provides critical data support for inventory tracking and forecasting models.
Key responsibilities
- Execute and track the day-to-day ordering schedule to maintain optimal inventory levels.
- Actively monitor inbound shipments and coordinate with relevant teams to ensure deliveries arrive as scheduled, enabling smooth and timely stock transitions into inventory.
- Flag transit delays early and dynamically adjust schedules to prevent operational gaps.
- Serve as the daily point of contact for supply partners, tracking their compliance against established operational parameters and lead times.
- Support the implementation of buffer stock requirements with suppliers to safeguard supply continuity.
- Coordinate between suppliers and relevant internal departments to resolve routine delivery or fulfilment discrepancies.
- Assist in sourcing activities by gathering quotes, analysing pricing structures, and evaluating new supplier options.
- Maintain and update the master vendor list, profile records, and market pricing logs.
- Support procurement activities, including generating Purchase Orders (POs) and performing three-way matching of invoices, Delivery Orders (DOs), and POs.
- Maintain Microsoft Excel tracking logs - updating lead-time data, order histories, and pricing master list - to support departmental forecasting models.
Requirements
- Diploma or Bachelor's degree in Business, Supply Chain Management, Logistics, or a related field.
- Minimum 2+ years in a procurement/supply chain role, with relevant experience in F&B / FMCG highly valued.
- Solid proficiency in Microsoft Excel (data entry, formula usage, and managing large tracking sheets); familiarity with ERP/procurement systems.
- Strong numbers sense with the ability to interpret inventory data, identify stock level trends, and support basic demand planning workflows to prevent overstocking or shortages.
- Strong track record of managing heavy administrative workflows and tracking data with high accuracy.
- Ability to negotiate pricing, terms, and delivery schedules with suppliers to support cost efficiency.
- Clear, assertive communication style to follow up with external suppliers and collaborate smoothly across internal departments.
