Job summary

Columbia Asia Hospital - Klang is seeking a Pharmacy Assistant to support pharmacy technicians, ensure accurate entry of medication orders, and maintain dispensing records in a fast-paced private hospital.

You will perform second-checks, dispense medicines with proper labeling, liaise with the clinical team, and participate in stocking, purchasing, and reporting. Must hold a Diploma in Pharmacy or MOH license and be fluent in English and Bahasa Malaysia; shift work is required.

Qualifications

• Diploma in Pharmacy or MOH license (certified).
• Fluent in English and Bahasa Malaysia (written and spoken).
• Able to work in shifts in a fast-paced hospital environment.
• Minimum 2–3 years of private hospital experience preferred.

Responsibilities

• Assist in day-to-day supervision of pharmacy technicians.
• Enter medication orders into dispensing program accurately and use software correctly.
• Maintain dispensing records and ensure correct labeling (drug name, strength, qty, directions, patient name).
• Provide a second-check on all medications issued.
• Follow policies for dispensing medicines, incl. expensive and controlled drugs.
• Verify correct medication and prescription details with patients and confirm dosage instructions.
• Provide clear, understandable instructions to outpatients and discharged patients in a language known to patients.
• Compound preparations as required by nursing units.
• Dispatch drugs to nursing units with proper care and security during transit.
• Liaise with clinical team regarding medications for individual patients.
• Comply with SOPs for storage, recording and requisitions of drugs.
• Maintain minimum stock levels, check expiry dates and storage conditions.
• Prepare purchase orders, process invoices, update prices and report drug utilization and inventory levels.
• Maintain dispensary equipment and ensure it is clean and functional.
• Ensure safe storage of returned and out-of-date medications.
• Communicate effectively with dispensing team to exchange patient medication information.

Job description

Ensure the medication orders are entered into dispensing program accurately and software utilized correctly.

Maintain accurate dispensing records and ensure that the medication is labelled with the correct drug name, strength, quantity, directions for use, patient's name and include any additional information. Provide a second-check on all medication issued.

Adhere to practice policies and procedures for dispensing medicines, in particular those relating to expensive and controlled drugs.

Ensure that the correct medication and prescription is given to the patient, confirming the details shown on the prescription form and the label and confirming the dosage instructions where appropriate.

Provide clear, understandable instructions to outpatients and discharged patients in a language known to patients.

Compound preparations as required by nursing units.

Dispatch drugs to nursing units with proper care and security during transit.

Liaise with members of the clinical team regarding medication for individual patients.

Comply with standard operating procedures for storage, recording and requisitions of drugs.

Maintain minimum stock levels of medicines, checking expiry dates and storage conditions.

Prepare purchase orders for approval. Process invoices and maintain price updates and prepare reports of medication utilization, billing and inventory levels as required.

Maintain dispensary equipment, ensuring it is clean, accurate and in a good state of repair.

Ensure the safe storage of returned and out-of-date medications

Communicate effectively and regularly with other members of the dispensing team to ensure the accurate exchange of information relating to patients and their medication.

Education and Requirements:

Diploma in Pharmacy or certificate/ license issued by the Ministry of Health.

Have good command in both English and Bahasa Malaysia (written and spoken)

Must be able to work in shifts and fast-paced environment.

Minimum of 2-3 years of working experience in a private hospital.
