Private Advertiser in Kuala Lumpur is seeking a proactive Personal Assistant / Executive Assistant to provide executive, administrative, and coordination support to senior management. You will manage calendars, travel, meetings, and business schedules while handling confidential information with discretion.

This role provides executive, administrative, and coordination support to senior management, with responsibilities spanning day-to-day executive assistance, corporate governance, and legal and compliance matters. You will manage calendars, meetings, travel arrangements, and business schedules while handling confidential information with discretion. The role involves coordinating with internal and external stakeholders including company secretaries, lawyers, auditors, accountants, banks, and government agencies to support corporate administrative functions, governance exercises, and transactions.
Executive & Personal Support
Provide day-to-day executive and administrative support to senior management.
Manage calendars, appointments, meetings, travel arrangements, and business schedules.
Coordinate internal and external meetings and prepare relevant documents, agendas, and follow-up items.
Draft and manage professional correspondence, letters, emails, reports, and other executive documents.
Track action items, deadlines, and outstanding matters to ensure timely follow-up.
Handle confidential and sensitive information with a high level of discretion.
Assist with ad hoc business and personal matters as required by senior management.
Assist with corporate administrative and governance matters involving the company and related entities.
Coordinate with company secretaries, lawyers, auditors, accountants, banks, government agencies, and other professional advisers.
Assist in preparing and organizing corporate documents, board papers, resolutions, meeting minutes, statutory documents, and supporting records.
Maintain proper filing and records of corporate documents, agreements, licenses, registrations, and important correspondence.
Monitor important corporate deadlines, renewals, filings, and follow-up actions.
Support corporate exercises and transactions by coordinating documentation, signatures, approvals, and communication among relevant parties.
Legal & Compliance Support
Assist in reviewing and organizing basic legal and commercial documents, including NDAs, service agreements, engagement letters, corporate documents, and other business agreements.
Coordinate legal documentation and correspondence with external legal counsel.
Conduct basic research on corporate, regulatory, contractual, and compliance matters when required.
Maintain proper records of agreements, legal correspondence, and supporting documentation.
Highlight key contractual terms, deadlines, obligations, and outstanding documentation for management’s attention.
Assist management in ensuring that required documents and information are provided to professional advisers on time.
The role provides administrative and coordination support on legal matters and is not expected to provide independent legal advice unless professionally qualified to do so.
Diploma or Bachelor's Degree in Law, Business Administration, Corporate Administration, Management, Finance, or a related field
Preferably 2–5 years of relevant experience as a Personal Assistant, Executive Assistant, Legal Executive, Corporate Affairs Executive, Corporate Secretarial Executive, or similar role
Experience dealing with corporate documentation, professional advisers, regulatory matters, or corporate transactions is highly preferred
Good understanding of basic corporate documentation and confidentiality requirements
Strong written and spoken English; proficiency in additional languages is an advantage
Strong Microsoft Office and document-management skills
Excellent organizational, communication, coordination, and follow-up abilities
Detail-oriented and able to manage multiple matters simultaneously
Able to work independently and exercise good judgment when handling confidential or sensitive matters
Willing to be flexible with working hours when urgent executive or corporate matters arise
