PT RESOURCES HOLDINGS BERHAD is seeking a proactive Personal Assistant to provide executive support to the CEO in Kuala Lumpur. You will manage complex schedules, coordinate internal and external meetings, and arrange domestic and international travel while maintaining high confidentiality.
The role requires strong organizational skills, excellent communication, and the ability to handle multiple priorities with discretion.
• Provide full executive and administrative support to the CEO.
• Manage and coordinate the CEO’s daily schedule, appointments, meetings, and commitments.
• Arrange business trips, transportation, accommodation, itineraries, and other travel arrangements.
• Remind and follow up with the CEO on important appointments, deadlines, meetings, and pending matters.
• Assist the CEO with business and personal arrangements as assigned.
• Manage changing priorities and urgent requests in a timely and professional manner.
• Schedule and coordinate meetings with internal and external parties.
• Prepare meeting agendas, presentation materials, reports, correspondence, and other documents as required.
• Attend meetings and take accurate minutes when required.
• Follow up on meeting action items and ensure relevant parties complete assigned tasks within the required timeline.
• Maintain proper filing and organization of important documents and records.
• Prepare letters, emails, reports, and other correspondence on behalf of the CEO when required.
• Serve as the primary point of contact between the CEO and internal and external stakeholders.
• Coordinate with departments to ensure the CEO's instructions are communicated effectively.
• Liaise with employees, customers, suppliers, business partners, and government authorities when necessary.
• Handle phone calls, messages, emails, enquiries, and other communications professionally.
• Build and maintain positive working relationships with internal and external stakeholders.
• Monitor and follow up on tasks delegated by the CEO.
• Track outstanding matters and ensure timely completion.
• Provide regular updates and progress reports to the CEO.
• Coordinate with relevant departments to resolve pending issues.
• Handle confidential information with strict confidentiality.
• Exercise sound judgment when dealing with sensitive matters.
• Maintain a high level of professionalism, integrity, and discretion.
• Represent the CEO professionally when dealing with internal and external parties.
• Assist in organizing company meetings, business events, corporate functions, dinners, and other activities involving the CEO.
• Coordinate with venues, vendors, suppliers, business partners, and other relevant parties.
• Provide on-site assistance and support during important meetings, events, and business functions when required.
• Accompany the CEO on domestic and overseas business trips when required.
• Perform administrative, executive, and ad-hoc duties assigned by the CEO or Management.
• Support special projects and assignments when required.
• Be flexible in handling urgent matters and changing priorities.
• Diploma or Bachelor’s Degree in Business Administration, Management, Secretarial Studies, or a related field.
• At least 2–3 years of experience as a Personal Assistant, Executive Assistant, Secretary, Management Assistant, or in a similar role.
• Experience supporting a CEO, Director, Managing Director, or senior management will be an added advantage.
• Strong organizational and time-management skills.
• Excellent communication and interpersonal skills.
• Good command of English and Bahasa Malaysia. Mandarin will be an added advantage.
• Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
• Able to handle confidential information professionally.
• Strong follow-up skills and attention to detail.
• Able to work independently with minimal supervision.
• Mature, responsible, proactive, and trustworthy.
• Able to work under pressure and manage multiple tasks simultaneously.
• Willing to work flexible hours when required by the CEO.
• Must be willing to travel and occasionally accompany the CEO on domestic and overseas business trips when required.
